Job summary

Savills Real Estate LLC in Dubai is seeking a competent Senior Facilities Supervisor to advance its FM supervision, tendering and day-to-day management of maintenance services for its residential portfolio.

The role reports to the Associate Director - Facilities Management and collaborates with UAE and Middle East teams to develop best practices, ensure regulatory compliance, and deliver high service standards.

Qualifications

• Minimum 5-7 years FM experience with quality providers.
• Must be based in Dubai.
• Strong knowledge of Dubai rules, regulations & compliance.
• A technical / engineering degree & experience relevant to residential, commercial and industrial properties.
• Willing to innovate to provide higher standards of service than the market average.
• Very good communication skills with contractors, property managers, tenants and clients.
• Autocad, CAFM and Microsoft modules experience.
• Highly motivated and extremely well organised.

Responsibilities

• Co-ordinate, manage and monitor facilities management & maintenance services on sites.
• Manage KPIs of service providers and AMC deliverers and create monthly landlord reports.
• Attend client meetings and provide detailed consultative reports.
• Ensure FM policies and procedures are adhered to at all times.
• Oversee annual maintenance contractor performance and property upkeep.
• Prepare and submit monthly client reports with professional visuals.
• Conduct regular property inspections with documented findings and recommendations.
• Review service provider performance and take action as needed.
• Enforce building regulations and lease conditions; ensure health & safety compliance.
• Oversee move in/out reporting and fit-out procedures, with improvement recommendations.
• Work with accounts to manage supplier payments.

Savills Real Estate LLC is seeking a competent forward-thinking Senior Facilities Supervisor, to continue the development of its FM supervision, tendering and day to day management of FM and maintenance services for its managed residential portfolio in Dubai. This role will report to the Associate Director - Facilities Management in Dubai and will also work closely with the UAE and wider Middle East FM teams to develop best practice.

Key Responsibilities

• Co-ordinate, manage and monitor facilities management & maintenance services to be delivered on sites managed by the Dubai Property Management team, ensuring effective delivery.
• Manage KPI’s of service providers and AMC deliverers and create monthly reporting for our landlords.
• Attend client meetings as needed and be able to provide detailed consultative reports
• Monitor & ensure that FM policies and procedures are adhered to at all times.
• Ensure that all Health, Safety and Environmental issues are managed in line with set procedures.
• Oversee Annual Maintenance Contractor performance and ensure landlord’s properties are maintained to a high level.
• Ensure monthly client reports are prepared professionally and submitted on time, using latest presentation techniques, visuals and layouts that are clear and highly professional.
• Conduct regular inspections of all properties and ensure that they are clearly documented & auditable with documented findings & recommendations.
• Attend regular meetings with service providers to review reporting & critique performance, motivate contractors to perform and where necessary put contractors on notice / performance review.
• Enforce building regulations, local community laws and lease conditions are met, whilst also being aware of legal and health & safety requirements.
• Ensure tenants adhere to the lease agreement terms and conditions in conjunction with Property Mangers.
• Oversee move in/move out reporting and fit out procedures, making recommendations and improvements as beneficial to all.
• Follow corporate policies in relation to due diligence, anti-money laundering and fraud.
• Work with the accounts team to manage supplier payments.
• Minimise unit down time, actively seeking to decrease “time under maintenance” reducing loss of revenue.
• Co-ordination and oversight for all fit-out related projects at commercial assets including - office & retail fit outs of periphery office and retail assets, common area refurbishments, in unit maintenance & upgrades.
• Develop and manage FM tender processes and develop & manage pre-qualified contractor directory.
• Review and authorise all service provider invoices for work completion & authorise to PM to pay.

Skills, Knowledge And Experience

• Minimum 5-7 years FM experience with quality providers.

• Highly literate with strong communication skills - able to easily converse & adapt dialogue respectively with contractors, property managers, tenants and clients.
