About the Job:

An opportunity has arisen for a Senior Executive – Leasing to join Dubai Holding Asset Management. The main duties and responsibilities of this role:

  • The role holder is responsible for executing leasing activities for clients, such as preparation of new leasing agreements, renewals, and processing payments, and following up on receivables through efficient customer coordination and excellent customer service to offset any bad debts and enable the department to contribute to the profitability of the function as per defined guidelines.

Lease Proposals & Agreements

  • Receive and review lease proposals from the Leasing team and external agents, ensuring all supporting documents are complete and accurate.
  • Prepare and finalize renewal proposals, including bulk and manual proposals, and provide insights for template improvements.
  • Ensure all documents are scanned, uploaded, and stored correctly while coordinating with the Leasing Team to resolve discrepancies or missing documentation.
  • Verify that signed proposals align with approved Delegation of Authority (DOA), Information Sheet, and File Notes, requesting necessary approvals for deviations.
  • Draft, review, and process all lease/license agreements (new, renewal, amendments, assignments, terminations, etc.) based on approved terms and conditions.
  • Forward draft agreements and supporting documents to the line manager, Legal (if special conditions apply), and Leasing team for review before tenant signatures.
  • Coordinate with relevant departments to ensure timely preparation and processing of agreements.
  • Manage tenant interactions, addressing queries and requests related to agreements.
  • Ensure accurate templates, commercial rates, and payment schedules are applied to agreements.
  • Register units in Ejari, coordinate Ejari and Dubai Land Department (DLD) related tasks, and generate Ejari certificates.
  • Track agreement deliveries, liaise with couriers and service providers, and update tenants on delivery status.
  • Obtain file notes or exceptional approvals for amendments to standard clauses and process security deposit refunds after necessary approvals.

Lease Renewals & Tenant Coordination

  • Review, verify, process renewal packs and lease renewals, including bulk proposals.
  • Assist walk-in clients with lease renewals and ensure payments are collected.
  • Escalate expired and non-renewed cases to relevant departments per SLA for service termination and initiate repossession procedures to mitigate bad debts.
  • Respond to tenant queries regarding lease amendments, novation, cancellations, and terminations.
  • Coordinate with tenants and property management teams for handover formalities, ensuring all outstanding payments and required documents are collected.

Database Maintenance & Reporting

  • Maintain and update the leasing database to ensure easy access and retrieval of departmental information.
  • Keep accurate records of tenant communications, lease details, and contractual obligations.
  • Monitor lease data, providing key insights such as available leasing space and churn rates for sales and leasing teams.
  • Prepare periodic reports and ad-hoc analyses on leasing activities, department performance, holdover cases, and key metrics for senior management.

Operational & Administrative Support

  • Assist in internal and external audit processes and compliance checks.
  • Participate in system testing and support design requirements for leasing platforms.
  • Coordinate with external suppliers (e.g., couriers, storage providers) for the efficient handling of lease agreements.
  • Maintain both manual and digital records for properties and tenants as per prescribed procedures.
  • Provide operational support, oversee team activities, assist the property manager in delivering exceptional customer service, and resolve tenant issues.

About you:

The ideal candidate for this position will have the following experience and qualifications:

  • Bachelors’ degree in any discipline.
  • 5 - 7 years within a leasing function or a similar role
  • Familiar with Ejari registration and Dubai Land Department regulations
  • Yardi experience is required.
  • Proven ability in planning and organizing effectively to meet objectives and deadlines.
  • Strong verbal and written communication skills in English; proficiency in Arabic is an added advantage.
  • Familiarity with enterprise systems such as Oracle, Yardi, and Salesforce is preferred.
  • Basic understanding of tenant fit outs and contract management is advantageous.
  • Demonstrated commitment to customer service excellence and building positive client relationships.
  • Exceptional attention to detail and a strong focus on quality assurance.
  • Well-developed analytical skills with the ability to interpret data and drive insights.
