Job description

Job Title: Senior Administrative Specialist who will be responsible for clerical work in the following areas under the instructions and requests of the GM.

Salary - AED 10,000

Location - Dubai, UAE

Job Responsibility:

  • To coordinate, oversee and perform a wide range of support activities, secretarial services, and confidential assignments & support for work related to regular HR tasks.
  • Handling PRO operations, managing of visa dates, arrangement of necessary documents, etc.
  • Required to be detail-oriented, accountable, and able to work independently with limited guidance from the direct manager.
  • Should also be able to multi-task and prioritize different assignments and requirements based on urgency.

Key Role:

  • Provide administrative support for the office, such as screening and handling telephone &email communications.
  • To organize and facilitate meetings and special events, schedules and coordinates dates and times, venues, attendance, and agendas, etc.
  • To draft and prepare written documents, policies and procedures, reports and correspondences for the office; screens and evaluate incoming inquiries and complaints.
  • To gather, enter and update data to maintain updated records and databases, as appropriate, for the Office.
  • Manage the agenda by prioritizing appointments, scheduling meetings and events.
  • Manage the office’s budget and spending requirements and follows up on necessary financial transactions of the Office.

Job Requirement:

  • A minimum of 5-6 years of experience related to the duties and responsibilities specified.
  • Familiarity with office organization and optimization techniques.
  • Excellent Japanese& English verbal and written communication skills.
  • Proficiency in MS Office applications
