Job Responsibilities
- Advises and supports the Technical Sales team in preparing and modifying quotations for customers, considering delivery conditions, payment terms, transport, packaging, and import procedures.
- Processes all relevant quotation or order data in various administrative systems, ensuring accuracy and consistency of customer data, agent data, pricing, and commission percentages, to keep the system updated.
- Monitors the entire quotation/order process, coordinating approvals and actions to ensure smooth and correct execution.
- Acts as the primary contact for the quote-to-order process, liaising with internal and external stakeholders.
- Verifies pricing, dates, SKUs, and authorization validity in the system, communicating with the Global Price Coordinator as needed.
- Handles tender-related items such as bid bonds, tender fees, bank guarantees, or letters of credit.
- Maintains close contact with the Catalysts Order to Cash team and the pricing and customer coordinators regarding orders.
- Prepares internal and external audit reports on commercial activities.
- Prepares escalations, quotes, and pricing approvals to support sales efforts.
- Approves quarterly prices in FCC and HPC for sales.
- Provides coverage for Sales Support colleagues within the Global Sales Support group.
- Enters contracts and agreements into Apptus and follows up on approvals.
- Supports go-to-market activities for local entities in UAE and Saudi Arabia, including arranging travel for site visits or workshops.
- Monitors customer catalyst inventory to minimize delivery risks.
- Coordinates with CSR to track catalyst orders and shipments, liaising with customers regarding delays.
- Coordinates delivery and payment processes for oil and catalyst samples sent for analysis.
- Manages spent catalyst disposal paperwork and payments.
- Assists in preparing and updating the sales dashboard.
- Supports regional marketing activities to enhance Ketjen's visibility, including administrative tasks for invitations and customer registration follow-up.
Knowledge and Experience
- Bachelor's degree in commerce, logistics, or related fields.
- Minimum of 5 years relevant experience in commercial and/or logistics roles.
- Understanding of business processes, preferably in the Oil and Gas sector.
- Experience with SAP 4, Salesforce.com, and MS Office (Excel, Word, PowerPoint, Outlook).
- Strong analytical skills.
- Ability to prioritize and act in a solution-oriented manner.
- Resilient under stress and detail-oriented.
- Languages: Mandatory English; knowledge of Arabic is an advantage.
