Job description

A Sales and Quotation Specialist for a Ship Chandling company is responsible for preparing and managing quotations for technical and store marine supplies and services, supporting the sales team, and ensuring smooth order fulfillment for vessels and maritime clients. This role requires a strong understanding of marine products, logistics, and customer service to meet the needs of ship captains, purchasing departments, and suppliers.

Job Description Responsibilities:

  1. Quotation Preparation and Management:
    • Prepare and deliver accurate quotations for marine supplies and services, considering vessel requirements, location, and time constraints.
    • Collaborate with suppliers and logistics partners to source products at competitive prices and ensure timely availability.
    • Track and follow up on quotations, manage inquiries, and communicate effectively with clients to convert leads into orders.
    • Analyze customer inquiries and prepare accurate and timely quotations.
    • Coordinate with HQ sales team to understand customer requirements.
    • Communicate with vendors and suppliers to obtain pricing information for products and services.
    • Ensure that all quotations comply with company pricing and discount policies.
    • Track and manage multiple quotations simultaneously.
    • Respond to customer inquiries and provide additional information as needed.
    • Maintain accurate records of all quotations and sales activities.
    • Identify opportunities to improve the quotation process and make recommendations to management.
  2. Sales Support:
    • Assist the sales team by providing product information, handling customer inquiries, and ensuring customer satisfaction.
    • Maintain records of quotes, customer details, and orders using AX systems for efficient order management.
    • Work closely with purchasing, operations, and warehousing teams to ensure product availability and timely delivery to vessels.
  3. Pricing and Cost Analysis:
    • Analyze product costs, market pricing, and profit margins to create competitive quotes.
    • Negotiate with suppliers to optimize costs and ensure the most cost-effective pricing for customers.
    • Regularly review and adjust pricing structures based on supply costs, market demand, and shipping/logistics expenses.
  4. Customer Relationship Management:
    • Develop strong relationships with customers, such as ship captains, purchasing managers, and marine operations teams, to encourage repeat business.
    • Address and resolve any issues related to pricing, delivery, or product availability promptly and professionally.
    • Provide ongoing support and ensure a smooth handover to the fulfillment team post-quotation.
  5. Logistics Coordination and Compliance:
    • Coordinate with logistics and operations teams to ensure prompt delivery of supplies to vessels, taking into account port restrictions and time frames.
    • Ensure that all products and services quoted comply with maritime regulations and specific vessel requirements.
  6. Process Improvement:
    • Identify and suggest improvements in the quoting and sales support process to increase efficiency and customer satisfaction.
    • Implement best practices to reduce turnaround time and enhance overall operational productivity.

Requirements:

  1. Experience: Prior experience of at least 4 years in ship chandling, maritime supply, logistics, or sales with a strong understanding of marine operations and products.
  2. Skills:
    • Knowledge of maritime products, vessel supply needs, and industry regulations.
    • Excellent communication and interpersonal skills to interact with both internal teams and external clients.
    • Proficiency in AX software, as well as Microsoft Office.
    • Strong negotiation skills and ability to analyze and adjust pricing structures.
    • Proficiency in creating weekly PowerPoint sales reports.
  3. Preferred Qualifications:
    • Familiarity with port operations and maritime compliance requirements.
    • Experience working in ship supply, chandling, or maritime logistics.

• Ability to understand and interpret technical documents and drawings as per IMPA.
• Proficient in using software programs such as Excel, Word, and AX systems.
• Flexible to the work and timing.
• Attention to detail and accuracy in data entry and calculations.
• Ability to work independently and as part of a team.
