Job description

Position Summary:

The Listing Sales Coordinator plays a vital role in supporting the success of our real estate agents by managing the administrative and marketing processes related to new property listings. This role ensures accuracy, compliance, and timely execution of tasks to optimize the listing experience for agents and clients.

Key Responsibilities:

  • Coordinate all listing-related documentation from listing agreement to MLS entry.
  • Ensure timely and accurate entry of new listings into MLS and Coldwell Banker platforms.
  • Track listing timelines, contract dates, and ensure compliance with brokerage policies and local regulations.
  • Serve as the point of contact for listing agents regarding updates, revisions, and documentation needs.
  • Assist agents with marketing materials including brochures, flyers, social media posts, and Just Listed campaigns.
  • Order and schedule professional photography, signage, lockboxes, and open house coordination.
  • Maintain organized electronic and paper files for each listing in compliance with brokerage procedures.
  • Collaborate with transaction coordinators and escrow offices to ensure seamless handoff once a listing goes under contract.
  • Provide weekly updates to agents regarding listing status and marketing performance.
  • Act as a liaison between agents, vendors, clients, and management to ensure smooth operations.

Qualifications:

  • High school diploma or equivalent (Associate’s or Bachelor's degree preferred).
  • 2+ years of experience in a real estate office or administrative support role.
  • Familiarity with MLS systems, ZipForms, DocuSign, and real estate transaction management tools.
  • Strong attention to detail and organizational skills.
  • Excellent communication and customer service abilities.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, Canva, and CRM platforms is a plus.
