We are seeking a detail-oriented and efficient Sales Coordinator to join our dynamic team in Ibis Styles Dragon Mart, Dubai, United Arab Emirates. As a Sales Coordinator, you will play a crucial role in supporting our sales team, coordinating various sales activities, and ensuring smooth communication between departments and clients.
Assist the sales team in achieving monthly targets by providing administrative support and coordinating sales activities
Manage and schedule site inspections for potential clients, ensuring all necessary arrangements are made
Handle customer inquiries via phone, email, and in person, providing timely and accurate information
Prepare and send out quotations to clients, following up on leads to support conversion rates
Collaborate with other departments to ensure efficient handling of sales, marketing, and event-related tasks
Develop and maintain organized filing systems for sales records and reports
Prepare function sheets and coordinate pre-conference and post-event activities
Conduct regular walk-throughs and site inspections to maintain familiarity with hotel facilities and operational standards
Assist in creating and updating sales support materials for the sales team
Monitor and report on sales activities, preparing regular reports for management
Ensure adherence to company policies, laws, and regulations in all sales-related activities
Qualifications
Proven experience (2+ years) as a Sales Coordinator, or in a similar administrative role within the hotel industry
Bachelor's degree in Hotel Management, Business Administration, Marketing, or a related field (preferred)
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
Excellent communication skills, both written and verbal, with fluency in English
Proficiency in Microsoft Office Suite, particularly Excel, and ability to learn new systems quickly
Experience with Customer Relationship Management (CRM) software
Knowledge of Opera property management system (essential)
Demonstrated ability to work efficiently, meet deadlines, and maintain attention to detail
Strong customer service orientation with a professional and collaborative approach
Adaptability to changing priorities and ability to work well under pressure
Familiarity with the hotel industry and its operational standards
Ability to work cohesively in a team environment while also being self-motivated
