Since 2004 in Fragrance Science we create, produce and export all over the world our fragrances for their application in detergents, home care products, cosmetics and fine perfumery. We are currently seeking for a highly-motivated Sales Back Office professional accurate, enthusiastic in working with numbers and with experience in office management tasks ready to work within a rapidly growing organisation with the international and dynamic team.

SALES BACK OFFICE – JOB DESCRIPTION
Provides executive and administrative support to the Front Office/ Sales Department adapting easily to its current needs and priorities.
Assists in day-to-day sales activities, on request and under guidance of the Sales Coordinator performs back office tasks: accurately prepares projects, calculations, orders, commercial offers, sales contracts/ PI, always under supervision and on approval of sales executives or area sales managers who requested the material.
Screens and channels incoming internal and external information (emails, phone calls), contacts with clients if needed.
Upon request of Area Sales Managers/ Sales Executives keeps management informed on the sales activities and operations by creating appropriate documents, reports, overviews, plans, forecasts and notes as needed.
Participates in organising of business meetings, visits and trips, prepares budgets and reports on expenses.
Leads between internal departments of the headquarters in Barcelona, Spain (Regulatory, Logistics, Laboratory, Finance, Production, Quality Control, Marketing, Evaluation) to follow up with documents and current status of projects and orders.
Manages corporate administrative tasks through AXS portal, delivers required documents to the appropriate authorities upon request, schedules appointments with notaries, banks, DDA office, and handles employment visas and work permits.
Requirements
Excellent English is a must. Arabic/other languages would be a plus.
3-5 years of experience in sales/ back office/ customer service tasks.
Ability to work under pressure in a fast-paced environment and with tight deadlines.
Multitasking.
Advanced user of Microsoft Office, Excel.
Meticulous attention to details.
Team-work.
Advanced user of AXS portal.
Basic knowledge of accountancy will be a plus.
Education
University degree in Business Administration, Finance, Economy, International Commerce or other related careers.
