Job Overview:
We are seeking a highly organized and detail-oriented Sales Administrator to support the Exclusive Sales Department. The ideal candidate will play a key role in managing documentation, coordinating with internal departments, and ensuring smooth operations throughout the property sales process.
What you ll do:
1. Sub-Agency Contract Coordination
- Follow up on signing of onboarding contracts with brokerage firms (sub-agencies).
- Maintain organized records of all agreements and track engagement progress.
- Distribute onboarding kits and welcome emails to new partner agencies.
- Coordinate internally to ensure contracts are aligned with company policy and developer expectations.
2. Exclusive Project Sales Support
- Prepare and process Sales Purchase Agreements (SPAs) with accuracy and in a timely manner.
- Liaise with brokers, clients, and developers to collect and verify required documentation.
- Monitor the full SPA cycle from booking to handover, ensuring milestones are met and files are properly archived.
3. Invoicing & Financial Coordination
- Commission invoices post-sale in coordinate with the finance department to ensure timely payment.
- Track pending payments and assist in maintaining accurate financial records for each transaction.
- Assist in resolving discrepancies or follow-ups related to invoicing.
4. CRM & Document Management
- Input and regularly update lead, deal, and agency activity data into the CRM system.
- Ensure all project-related documents (SPAs, contracts, invoices) are stored and indexed correctly.
- Support the reporting process with weekly summaries on onboarding status, sales progress, and document flow.
5. Administrative & Operational Support
- Assist the Director and Relationship Managers with scheduling meetings, agency visits, and internal coordination.
- Help prepare materials and logistics for training sessions, briefings, and marketing launches.
- Collaborate with the Dubai office to align operational policies and templates.
What we re looking for:
- 2 3 years of relevant experience in sales administration, coordination, or back- office operations within the real estate sector.
- Familiarity with real estate contracts, SPAs, brokerage onboarding, and invoicing processes.
- Proficient in Microsoft Office and CRM platforms.
- Fluency in English and Arabic is strongly preferred.
- Highly organized with strong attention to detail.
- Reliable, discreet, and professional in handling sensitive information.
- Clear communicator with strong follow-up and coordination skills.
- Team-oriented with a proactive and service-driven attitude.
