Qualifications

Reporting to: Retail Project Director

Location: Dubai, United Arab Emirates

  • Supporting the project management team in daily operational tasks such as payments, administrative and organizational tasks.
  • Facilitating the efficient coordination between internal and external stakeholders.
  • Providing insights into project costs and sustainability to drive informed decisions and streamline processes.

Purchase Orders and payments Management

  • Creation and monitoring of purchase requests and orders for GCC Capex .
  • Ensuring timely and accurate processing of POs.
  • Collaborating with suppliers and internal teams to ensure timely invoicing and payments.
  • Creating suppliers when required.
  • Tracking projects expenses and highlighting potential overruns.
  • Providing project costs analysis

Logistics Coordination

  • Coordinating with external stakeholders to secure the timely availability of ordered materials.
  • Coordinating with internal teams to secure the timely delivery of internationally and locally supplied materials.
  • Recording and tracking all supplies’ movements in/out warehouse

Projects Support

  • Sourcing, shortlisting, and assessing new contractors, suppliers & service providers.
  • Processing Malls and authorities permits when required.
  • Consolidating feedbacks on existing partners, assessing, and communicating their performance.
  • Maintaining a record of all legal, contractual, and costing documentation received during the project’s life cycle.
  • Supporting in updating and developing processes and guidelines related to Design, Projects, and Maintenance.

Sustainability

  • Facilitate the coordination between internal and external stakeholders to secure the timely collection, consolidation, and communication of the energy consumption data for all GCC stores.
  • Actively supporting the implementation of all new sustainability initiatives.
  • Supporting in the preparation of the roll-out plan for the Energy meters to be installed in all GCC stores.
  • Source and finalize agreements with recycling companies for all GCC countries.
  • Identify the recycling needs, monitor the activities, consolidate & share the reporting.

Do not hesitate to apply if you have:

  • Analytical skills with an eye for detail.
  • The successful candidate should have qualifications in Business administration, Projects coordination, or other related fields, with 1-2 years’ experience in Luxury Retail/Fashion/Cosmetics.
  • Prior internship or experience in project coordination or similar roles would be advantageous.
  • Exposure to sustainability projects or initiatives a plus.
  • Arabic is a plus.
  • Proactive and self-motivated.
  • Collaborative team player with the ability to work independently.
  • Open to feedback and keen on continuous learning.
  • Problem solver with a positive attitude.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
