Reservations Manager Job Description

Oversee and manage the day-to-day operations of the hotel's reservations department, ensuring smooth and efficient processes.

Develop and maintain the department schedule to ensure appropriate coverage for handling reservation calls, minimizing call loss, and maximizing bookings.

Supervise and train reservations staff, providing guidance, support, and ongoing performance feedback.

Handle complex guest inquiries, resolve issues, and provide solutions to maximize guest satisfaction and revenue.

Ensure exceptional customer service by promptly responding to guest inquiries, requests, and complaints, preventing loss of business.

Collaborate with other hotel departments to ensure seamless guest experiences and effective communication.

Maintain positive relationships with guests, travel agents, corporate clients, and other stakeholders.

Anticipate guest needs and personalize services to enhance their experience.

Manage reservation changes, cancellations, and special requests professionally and efficiently.

Generate regular reports on reservation statistics, occupancy, and revenue performance.

Foster a positive and collaborative work environment within the reservations department.

Coordinate with other departments such as front office, sales, and marketing for seamless operations.

Conduct regular team meetings to communicate updates, goals, and performance expectations.

Conduct annual reviews and recommend development plans for team members to ensure department sustainability.

Monitor reservation and revenue systems to ensure accurate availability, rates, and inventory across channels.

Develop action plans to meet daily, monthly, and yearly KPIs.

Complete accurate rooms forecasting for demand projection, including group and transient bookings.

Maintain records related to market segments, transient pace, forecasts, and other data.

Coordinate updates on stay restrictions or rate changes reflecting the hotel's market strategy.

Record competitive set pricing and analyze market opportunities based on competition and historical data.

Ensure rate leakages are addressed promptly, using systems like Fornova for resolution across partners.

Develop and implement strategies to optimize room revenue and occupancy.

Analyze market trends, competitor pricing, and demand patterns to inform decisions in collaboration with the Cluster Director of Revenue Management.

Adjust room rates based on market conditions and demand in collaboration with revenue management.

Ensure rate plans are correctly indexed, loaded, and distributed to all channels.

Use revenue management tools to forecast demand and maximize revenue.

Analyze data to identify trends, opportunities, and areas for improvement, providing insights to management.

Evaluate group rates for high-demand exhibitions.

Prepare weekly RevMax meetings and ensure all departments complete their slides.

Qualifications

  • Higher education in tourism and hotel management.
  • Proficiency in English required.
  • Relevant experience in a similar role.
  • Knowledge of Microsoft Windows programs.
  • Excellent communication skills, both written and verbal.
  • Strong interpersonal and problem-solving abilities.
  • Highly responsible and reliable.
  • Ability to focus on guest needs, remaining calm and courteous.
  • Professional telephone etiquette and excellent command of language.
  • Strong team player, capable of working independently in a fast-paced environment.
  • Dynamic, eager to learn.
  • Good sales and presentation skills.
  • Ability to manage multiple tasks simultaneously.
  • Management experience is advantageous.
  • Strong analytical, organizational, and creative thinking skills.
  • Pre-opening experience is a plus.
