Job description

Main Accountabilities:

  1. Answer, screen, and forward incoming phone calls, providing basic information as needed.
  2. Provide office support to ensure efficiency within the School.
  3. Maintain communication with enrolled families, nurturing relationships according to the Lifecycle of School Engagement.
  4. Handle parent concerns, complaints, and feedback effectively, escalating when necessary and scheduling meetings as needed.
  5. Coordinate parent and community events to promote engagement.
  6. Assist in the induction process through welcome packs and follow-up calls.
  7. Act as the first point of contact for parental complaints, monitoring and escalating issues appropriately.
  8. Stay informed about Ministry of Education and KHDA regulations.
  9. Participate in weekly meetings to address queries and conduct workshops.
  10. Conduct campaigns via calls, emails, and surveys with families each term.
  11. Gather feedback from new parents and collaborate with marketing for communication strategies.
  12. Alert senior staff to potential withdrawal risks among families.
  13. Support marketing efforts by updating relevant market studies.
  14. Conduct exit interviews with departing families.
  15. Manage daily mail, deliveries, and maintain security procedures.
  16. Update and manage appointment calendars and meetings.
  17. Screen and escalate complaints, log inquiries into CRM, and notify relevant staff of visitors.
  18. Engage with visitors and prospective parents, assisting with their needs.
  19. Redirect inquiries related to policies, curriculum, fees, and other operational matters.
  20. Guide new families through admissions, induction, and departure processes.
  21. Coordinate transitions for existing students and support student registration documentation.
  22. Assist the admissions team with data entry into various systems and forms.
  23. Maintain registers for attendance, evacuation, absences, lateness, and early pickups.

Job Specification:

  • Bachelor's degree in any discipline.
  • Strong written and oral communication skills.
  • Bi-lingual candidates, especially with Russian or another language, are preferred.
  • Excellent customer service, negotiation skills, and numerical aptitude.
  • Proficient computer skills are required.
