Receptionist Job Responsibilities
- Direct customers to the correct department, notify the appropriate person that a customer is waiting, and assist the customer to a service advisor.
- Answer incoming phone calls, direct callers to the appropriate department or individual, or take detailed messages.
- Communicate with callers and visitors professionally and efficiently.
- Obtain basic demographic information about each customer using CRM.
- Enter data into a prospect tracking system and generate prospect reports for the Reception Manager.
- Work cooperatively with Service Advisors.
- Assist in scheduling customer appointments and confirming Service Advisors’ schedules.
- Promptly communicate messages to the appropriate parties.
- Receive mail, documents, packages, and courier deliveries, and deliver or distribute items as needed.
- Assign each customer a token number and direct them to the appropriate Service Advisor based on availability and workload, ensuring fair distribution of service requests.
Desired Candidate Profile
- Bachelor’s degree in a related field.
- Strong customer service orientation, with the ability to resolve issues and handle difficult situations gracefully.
- Ability to maintain confidentiality and handle sensitive information discreetly.
- Detail-oriented with excellent organizational skills and the ability to manage multiple tasks simultaneously.
