Job description

This role requires an energetic self-motivated individual who will be responsible to provide administrative support to the workplace, office and admin duties, reception, and executive assistant to support the Vice President in their day-to-day activities.

The role also oversees office functions and supervises lower-level office employees. This position requires someone who has excellent verbal communication skills, good judgment, and strong time management skills in order to meet deadlines.

Key Responsibilities:

  1. Executive Assistant to the Vice President
  2. Business travel coordination and logistics of the VP
  3. Calendar management
  4. Expense management
  5. Administration support
  6. Personal Assistant
  7. Administrative Tasks
  8. Office maintenance, pantry, and refurbishment management
  9. Coordination for courier and shipments
  10. Invoice management - verifying & collecting all admin and HR invoices.
  11. Vendor/supplier creation and coordination
  12. Onboarding & offboarding of employees
  13. Update admin contract renewals
  14. IT support for the office
  15. Maintenance of visitors’ registration, granting access to office and monitoring any ad hoc queries.
  16. Checking entire office for issues to report every morning & after duty
  17. Parking card management

Desired Candidate Profile

Required Experience & Qualifications

  1. Experience - Minimum 5 years MNC experience.
  2. Experienced as a PA or EA
  3. FMCG background preferred.
  4. Good communication skills, well-versed with MNC culture and customer service background.
