A leading architectural firm in Dubai is looking for an experienced administrative professional to handle reception and provide comprehensive administrative support. Responsibilities include managing calls, scheduling meetings, and maintaining office supplies. The ideal candidate holds a degree in Business Administration and has at least 2 years of experience in a multinational setting. A flexible team player with excellent interpersonal skills is preferred.

Job description

Handle full range of reception roles independently and provide administrative support.

Major Responsibilities:

• Perform all necessary office administrative functions, travel arrangement, conference room booking, guests greeting etc.

• Answer telephone calls, take messages and handle in a satisfactory manner

• Prepare and update staff records and contact lists

• Handle general administrative and clerical duties (emails, calls, scheduling, filing, document preparation)

• Coordinate meetings, appointments, travel arrangements, and maintain calendars

• Maintain organized records of contracts, and official documents

• Support with the renewal of the company’s trade license, establishment card, and other legal documents

• Order and maintain office supplies, and ensure efficient office operations

• Welcome and assist visitors, and manage front desk responsibilities as needed

• Maintain confidentiality and handle sensitive information professionally

• Perform any other administrative tasks as assigned

Requirements:

• Degree holder in Business Administration or relevant discipline

• Minimum 2 years of relevant working experience in multi-national companies

• Well experienced in serving various types of people as well as effective phone call handling skills

• Capable in handling multi-tasks among reception and administration duties

• Customer oriented, good tone and manner in handling phone calls

• Presentable, detail-minded and well-organized

• Proficient in both written and spoken English

• A flexible team player with high proficiency of interpersonal skills and

• Familiar with MS Word, Excel, PowerPoint

• Immediately available is preferred
