Job description

JOB PURPOSE:

Greet clients for both telephone calls and visits to the business. Responsibilities include answering incoming calls, taking messages, and directing calls. The ideal candidate is a detail-oriented team player and the first point of contact for visitors. Assigned duties also include managing inbound and outbound mail, administrative work, and general clerical support.

KEY ACCOUNTABILITIES:

  • Assist visitors, customers, and suppliers.
  • Handle queries and complaints via phone.
  • Transfer calls as necessary.
  • Arrange international calls as necessary.
  • Take and pass messages to the appropriate staff promptly.
  • Receive, sort, distribute, and dispatch daily mail.
  • Handle travel arrangements such as flight tickets, hotel accommodations, travel insurance, and visa appointments if necessary.
  • Process travel claims and reimbursements.
  • Coordinate internal and external events.
  • Maintain safety and hygiene standards of the reception area.
  • Prepare purchase orders.
  • Assist colleagues with administrative tasks.
  • Prepare local and international couriers for the Administration & MD’s office.

EXPERIENCE, QUALIFICATIONS & SKILLS:

  • Efficient problem solving.
  • High standard customer service.
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint.
  • Good knowledge of travel arrangements.
