Your day at NTT DATA

The Receptionist / Switchboard Operator has the responsibility to deliver a friendly, efficient customer service and to create a warm and welcoming atmosphere for employees and guests.

What You'll Be Doing

Key Responsibilities:

  1. Takes responsibility for the reception area, ensuring the reception area is tidy and presentable.
  2. Receives and welcome Guests and advise the relevant internal stakeholders of the guest/visitor’s arrival timeously.
  3. Answers, screens and redirects incoming calls.
  4. Routes emergency calls, forwarding them to the appropriate internal stakeholders, ensuring that the call reaches the appropriate person.
  5. Performs administrative duties such as typing, capturing and updating information on the relevant systems.
  6. Sorts mail and packages when required.
  7. Manages all logistics relating to public meeting rooms.
  8. Ensures that detailed messages are passed on to relevant persons immediately.
  9. Screens walk-in clients/guests.
  10. Establishes and maintains an electronic/manual diary for scheduled appointments.
  11. Handles queries related to the company’s products, services and/or people.
  12. Performs any other related task as required.

  3. Ability to exercise sound judgement and display the ability to deal effectively with conflict.

  7. Excellent organizational skills.
  8. Customer service attitude.
  9. Ability to prioritize tasks and handle multiple tasks simultaneously.
  10. Ability to remain calm and able to make quick decisions.

Academic Qualifications and Certifications:

  1. Relevant secondary qualification or equivalent.

Required Experience:

  1. Relevant demonstrated working experience in a similar position.
  2. Relevant demonstrated working experience in a related environment.
  3. Relevant demonstrated experience handling a multi-line switchboard.
