Job description

Greeting Visitors:

  • Welcome and direct visitors in a professional and friendly manner.
  • Ensure visitors sign in and are provided with visitor badges.

Telephone Management:

  • Answer, screen, and forward incoming phone calls.
  • Provide basic information to callers and take messages when necessary.

Administrative Support:

  • Manage incoming and outgoing mail and deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Perform clerical duties such as filing, photocopying, and faxing.

Scheduling:

  • Schedule and coordinate meetings and appointments.
  • Maintain and update appointment calendars.

Customer Service:

  • Address and resolve basic inquiries and complaints.
  • Provide excellent customer service to internal and external stakeholders.

Qualifications:

Education:

  • High school diploma or equivalent.

Experience:

  • Previous experience as a receptionist or in a related field.

Skills:

  • Proficiency in Microsoft Office Suite.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Professional attitude and appearance.
  • Ability to be resourceful and proactive when issues arise.

Additional Information:

Work Hours:

  • Typically 8 hours per day, 5 days a week.

Location:

  • Based at the front desk of the office premises.

Reporting:

  • Reports to the Office Manager or Administrative Supervisor.
