Job summary

Sofitel Dubai The Palm invites a detail-oriented Receiving Clerk to join our hospitality team on the Palm Jumeirah. You will support the receiving process, ensure item quality and accuracy, and help maintain supplier records and inventory systems.

In this role, you will work closely with kitchen, vendors, and purchasing teams to ensure timely delivery and compliance with hotel standards. A high school diploma and 1–2 years in receiving are preferred.

Qualifications

• High school diploma or equivalent; diploma in hotel management, F&B service, or supply chain preferred.
• At least 1-2 years of receiving experience.
• Attention to detail and accuracy in documentation.
• Basic computer and inventory software skills.
• Good physical stamina and ability to work in cold rooms.
• Communication and coordination with kitchen, vendors, and purchasing teams.

Responsibilities

• Respect policies and procedures for receiving.
• Support cost control and maintain audit traces.
• Maintain records for municipality and local authorities.
• Update purchasing manager on rejections, shortages, and substitutions.
• Ensure quality, quantity, price, and shelf life of incoming supplies.
• Obtain specialist opinion on supply quality when needed.
• Secure delivered products and distribute to departments promptly.
• Create credit notes where appropriate.
• Document returns and arrange repairs/refilling; follow up on return.
• Update accounts payable with supporting documents daily.
• Maintain inventory records and ordering documents.
• Assist in month-end inventories and reconciliations.
• Assist with inventory system administration.
• Carry out quarterly, bi-yearly, yearly inventory of operating equipment.
• Carry out any other duties as assigned by Cost Controller.

Job Description

• Respect the policies and procedures implemented on the process of receiving.
• Support and encourage the objective of cost control and maintain traces for audit.
• Maintain records for municipality and local authority requirements.
• Update the purchasing manager and the Executive Chef on rejected deliveries, short supplies and non-supply of products for alternative actions.
• Ensure the quality, quantity; prices and self life of the incoming supplies are according to the purchase orders.
• Where appropriate obtain specialist opinion on the quality of the supply from department concern.
• Secure the product received on behalf of the hotel and arranged deliver to them to respective department or stores without delays.
• Create credit notes where appropriate.
• Documentation of hotel properties returned, send out for repairs and refilling etc.; and follow-up on their return.
• Update the accounts payable with all supporting at the end of the day.
• Maintain updated documents related to supplies on order in fine and in the inventory system.
• Assist the Assistant and Cost Controller for month-end inventories and their reconciliations.
• Assist the Assistant and Cost Controller in administration of the Inventory system.
• To assist in carrying out quarterly, bi-yearly, yearly inventory of operating equipment.
• To carry out any other reasonable duties as assigned by the Cost Controller and Assistant Cost Controller.
