As a Receiving Agent, you will be responsible for managing the receiving function efficiently while ensuring all procured goods meet our quality standards and adhere to our policies and procedures. Your key responsibilities include:
- Ensuring all items received conform to the LPO, Hotel Policies, and Hygiene Standards. Goods must be inspected physically for count, weight, and visual specifications prior to receipt.
- Delivering inspected goods to relevant departments and obtaining necessary acknowledgments from Department Heads or their representatives.
- Reviewing supplier invoices to ensure they are original, numbered, itemized with clear descriptions, and free from clerical errors. Satisfactory deliveries should be acknowledged with the Hotel Seal and signature.
- Processing supplier invoices in FBM promptly and according to standards.
- Reviewing and processing Deviations Reports and Outstanding Order Reports as per Hotel Standards.
- Weekly review of Outgoing Records (OR) for serial control and completeness.
- Highlighting outstanding ORs to Department Heads in the Outstanding Outgoing Record Report.
- Maintaining manual and digital filing systems with properly named and cataloged files, ensuring access is restricted to authorized personnel.
- Operating in a safe and environmentally friendly manner to protect guests and employees' health and safety, and to conserve the environment.
- Complying with hotel environmental, health, and safety policies and procedures.
Skills, Education, Qualifications & Experiences
You should possess a degree in hotel management or accounting, with at least one year of experience in a hotel environment. Excellent verbal and written English communication skills and computer literacy are essential. Knowledge of Opera, Micros, FBM, and SUN System is an asset.
