Job description

We are seeking a detail-oriented and proactive Sales Administrator for one of our clients, a leading real estate brokerage in Dubai. The ideal candidate will have a strong understanding of various real estate portals and CRM systems. This role is crucial for ensuring the smooth operation of our sales processes and providing essential support to our sales team. Other duties and responsibilities would include but are not limited to:

Administrative Support:

  • Assist real estate agents with administrative tasks such as drafting correspondence, preparing documents, and filing paperwork.
  • Maintain and organise client databases, ensuring accurate and up-to-date records of properties, clients, and transactions.
  • Coordinate appointments, property showings, and open houses, managing schedules efficiently.
  • Be available during the weekends for any urgent ad hoc requirements by the agents.

CRM Support:

  • Ensure that the CRM system functions in accordance with the company’s requirements. Ensure that any issues with the system are reported to the vendor and fixed in a timely manner.
  • Train all new employees on the use of the CRM solution and repeat such training sessions until the new employee becomes efficient with the CRM solution.

Client Communication:

  • Facilitate communication between clients, agents, lenders, and other involved parties throughout the sales process.

Marketing Assistance:

  • Assist in the creation and distribution of marketing materials, including property listings, brochures, and online advertisements.
  • Coordinate the staging and photography of properties to enhance their appeal to potential buyers.
  • Utilise social media platforms and online listing services to promote properties and generate leads.
  • Coordinate events such as open houses, road shows, and others.

Transaction Coordination:

  • Support agents in managing the various stages of real estate transactions, from initial offer to closing.
  • Ensure all necessary documentation is completed accurately and submitted on time, adhering to legal and regulatory requirements.
  • Coordinate inspections, appraisals, and other third-party services required during the transaction process.

Client Relationship Management Until Completion of Transaction:

  • Cultivate positive relationships with clients by providing exceptional service and personalised assistance.
  • Act as a liaison between clients and agents, addressing concerns and facilitating smooth communication.
  • Keep clients informed about the progress of their transactions, providing timely updates and guidance.
  • Dealing with developers for NoC, with service charges department for payments; land department and trustee office, and any other requirements relating to the transaction.
