Position Overview

This role is responsible for managing the end-to-end sourcing process, including reviewing sourcing specifications, preparing for purchases, rentals, repairs from external vendors, and raising Purchase Orders (PO).

Key Responsibilities
  • Lead procurement activities: review specifications, source suppliers, compare quotes, conduct background checks, and recommend the best procurement options.
  • Prepare and raise Purchase Orders accurately and promptly.
  • Collaborate with budget owners and upload relevant documents in the system.
  • Negotiate favorable terms and pricing; ensure tax invoices are obtained before payments.
  • Ensure deliverables meet contractual terms and provide weekly status updates.
  • Maintain records of orders, payments, and stock received.
  • Generate reports and analyze purchasing data for management review.
  • Coordinate with Finance to process payments per agreed terms.
  • Ensure procurement complies with company policies and approval processes.
  • Develop and maintain strong supplier relationships; monitor lead times and expedite orders as needed.
  • Respond promptly to equipment fault reports from the engineering team, minimizing downtime.
  • Manage repair quotations, communicate with manufacturers, and coordinate repairs and equipment status updates.
  • Keep management informed on repair cases and ensure timely completion of repairs.
  • Identify opportunities to reduce repair costs without increasing downtime.
  • Assist with logistical arrangements for equipment drop-off and pickup.
  • Seek opportunities to add value and improve processes.
  • Contribute to departmental and organizational objectives.
Position Requirements
  • Degree or diploma in Supply Chain Management, Business Administration, or Inventory Management preferred.
  • At least 4 years of experience in procurement, inventory control, or related fields.
  • Strong administrative skills, including proficiency in MS Office.
  • Excellent organizational, time-management, and multitasking abilities.
  • Attention to detail and meticulousness.
  • Excellent verbal and written communication skills.
  • Ability to work under pressure and meet deadlines.
