Job description

Assist Property Management with the day-to-day operations and tenant relations through the coordination of tenant requests, payment records, and maintenance services.

Provide support to Property Managers by producing, modifying and/or distributing various forms, spreadsheets, manuals, information packages, and miscellaneous type-written information.

Process correspondence for tenants, contractors, and other third parties for Property Management staff.

Maintain and update Tenancy Contracts Register files for all properties and issuing renewal notices.

Maintain and update as necessary all tenant contact information.

Maintain a highly organized filing system for leases, tenants, rental cheques, vendors, buildings, drawings, and owner documents.

Assist property manager as needed on special projects.

Assist with the coordination of rent/lease collections.

Deliver tenant renewal notices.

Complete all required paperwork for the property, including rental collection and pending renewals.

Support coordination with the Sales team for clarification of matters related to leasing and outstanding issues.

Have good experience in the Microsoft Office package.

Able to prepare AMC reports and follow up for preventive maintenance and maintenance reports, and vendor billing.

Manage Property Vacancy reports on a weekly basis.

Customer account follow-up and clearance from the system.
