Job description

Job Title: Project Manager – Conferences & Events

Department: Commercial and Events, Office of External Relations

Reports To: Director of Commercial and Events

Summary:

The Project Manager – Conferences & Events is responsible for leading the planning and delivery of major conferences and wide events. This role acts as a central point of coordination across divisions, administrative units, and external partners to ensure that each project is executed on time, within scope, and in alignment with the company’s strategic goals. The ideal candidate is detail-oriented, proactive, and experienced in managing multi-stakeholder initiatives in a fast-paced environment.

Key Responsibilities:

  1. Serve as the primary project lead for large-scale conferences and major events.
  2. Coordinate with leads and departments to define conference goals, scope, deliverables, and timelines, ensuring successful execution.
  3. Develop website content, communications, and branding materials related to conferences and events in collaboration with colleagues.
  4. Handle space booking, coordinate catering services, arrange facilities and setup, and collaborate with the safety and protocol teams to ensure alignment.
  5. Lead cross-departmental planning meetings and maintain strong communication across all stakeholders.
  6. Oversee production schedules, venue logistics, speaker coordination, vendor management, and delegate experiences.
  7. Manage external partnerships and service providers, including issuing RFPs, negotiating contracts, and ensuring service delivery meets company standards.
  8. Manage purchase requisitions, process payments, and obtain necessary approvals and permits, including those related to Environmental Health and Safety (EHS).
