The Project Manager is responsible for leading, planning, and executing events and exhibition projects from concept to completion. This includes managing timelines, budgets, client communication, and cross‑functional coordination with design, production, logistics, and on‑site teams to ensure successful project delivery that meets client objectives and company standards.
Key Responsibilities:
1. Project Planning & Coordination
- Develop and manage detailed project plans, schedules, and budgets for each event or exhibition.
- Coordinate with internal departments (design, production, technical, logistics, and procurement) to align project objectives.
- Define project scope, goals, deliverables, and milestones in alignment with client requirements.
2. Client Management
- Serve as the main point of contact for clients throughout the project lifecycle.
- Conduct regular meetings, updates, and presentations to maintain client satisfaction and transparency.
- Provide creative and operational solutions to meet client expectations.
3. Budgeting & Financial Control
- Prepare cost estimates, quotations, and project budgets.
- Track expenses, manage vendor invoices, and ensure profitability.
- Negotiate with suppliers and contractors to ensure cost‑effectiveness.
4. Production & On‑Site Execution
- Supervise event setup, installation, and dismantling to ensure quality and safety standards.
- Coordinate logistics including transportation, material handling, and manpower scheduling.
- Handle troubleshooting and on‑site decision‑making during event execution.
5. Quality & Compliance
- Ensure adherence to brand guidelines, design standards, and safety regulations.
- Conduct post‑event evaluations to assess project success and areas for improvement.
6. Team Leadership
- Manage internal project teams and external vendors.
- Assign tasks, monitor performance, and ensure timely completion of deliverables.
- Foster collaboration and effective communication across departments.
Qualifications & Requirements:
- Bachelor’s degree in Event Management, Marketing, Business Administration, or related field.
- 5+ years of experience in project or event management within an exhibitions, events, or agency environment.
- Proven experience handling large‑scale events, exhibitions, or corporate activations.
- Strong budgeting, scheduling, and vendor management skills.
- Excellent communication, negotiation, and leadership abilities.
- Proficient in Microsoft Office, project management tools (e.g., Monday.com, Asana), and design file handling (AutoCAD, 3D renderings a plus).
Ability to travel and work flexible hours, including weekends or late nights during event setup and breakdown.
