Job description

Job Purpose

The Project Coordinator will provide essential support to project management and senior leadership by coordinating meetings, tracking action items, and managing communication with stakeholders. The role also involves event coordination and fostering relationships with internal and external parties to ensure successful project execution. The PC will excel in multitasking and exhibit strong organizational skills to handle a dynamic workload effectively.

Functional Accountabilities

  • Organize and attend internal and external meetings, preparing and distributing minutes and action items.
  • Conduct detailed research on companies, clients, and project topics to ensure leadership is fully prepared.
  • Facilitate decision-making processes by summarizing critical points and ensuring follow-ups are completed within deadlines.
  • Establish and maintain trust-based relationships with heads of departments and stakeholders.
  • Act as the first point of contact for minor to medium-level stakeholder issues, alleviating the workload on senior leadership.
  • Foster effective communication with stakeholders to address queries and concerns.
  • Create and manage an action item tracker to systematically remind leadership of pending tasks.
  • Ensure timely follow-ups with heads of departments and stakeholders to meet deadlines.
  • Support managers by conducting research on topics discussed in meetings and other relevant areas.
  • Provide insights and data to prepare leadership for events, discussions, and special projects.

Qualifications, Experience, & Skills

  • Bachelor’s degree in business administration, Project Management, or a related field.
  • At least 3 years of experience in project coordination, administrative support, or a similar role.
  • Proven experience in managing stakeholder relationships.
  • Proficiency in Microsoft Office Suite and project management tools.
  • Fluency in English, with excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
