Job description

As a Project Coordinator, you will be responsible for assisting in the planning, execution, and monitoring of projects within IT Infrastructure (Unified Communication & Network).

The Project Coordinator will work closely with project managers, team members, and stakeholders to ensure projects are completed successfully, on time, and within scope.

Key Accountabilities:
  1. Collaborate with project managers to define project scope, goals, and deliverables.
  2. Develop and maintain comprehensive project plans, including tasks, timelines, and resources.
  3. Coordinate projects and ensure that project teams and vendors are aware of their responsibilities.
  4. Monitor project progress, track tasks, and identify and address any potential issues or delays.
  5. Act as a central point of contact for project team members and stakeholders.
  6. Maintain accurate project documentation, including meeting minutes, reports, and project updates.
  7. Identify risks and assist in developing mitigation strategies to ensure project success.
  8. Schedule and facilitate project meetings, prepare agendas, and document meeting outcomes.
  9. Engage with stakeholders to gather requirements, provide updates, and manage expectations.
  10. Prepare regular status reports and presentations for project managers and leadership.
  11. Coordinate and manage projects handover to operation team.
  12. Assist in building policies and procedures for smooth operation and projects.
  13. Supervise and guide the operation team for efficient ISP billing and reduce OPEX cost.
QUALIFICATIONS, EXPERIENCE & SKILLS
Qualification:

Bachelor's/Diploma degree in a relevant field or equivalent work experience.

Experience:
  1. Assisting Project Managers: an assistant to project managers. Responsibilities might include basic administrative tasks, document management, and providing support in project planning.
  2. Documentation: responsible for maintaining project documentation, including project plans, schedules, and meeting minutes. Attention to detail is crucial in this role.
  3. Communication: assist in facilitating communication between team members, stakeholders, and clients. This may involve scheduling meetings, sending out status updates, and ensuring everyone is informed.
  4. Task Tracking: Tracking the progress of project tasks, deadlines, and deliverables is an important part of the role. This might involve using project management software or spreadsheets.
  5. Meeting Coordination: responsible for scheduling and coordinating meetings, preparing agendas, and ensuring that meetings run smoothly.
  6. Data Entry: Entering and updating project data, such as budgets, resource allocation, and project timelines.
  7. Telecom/ISP Experience: Ability to manage telecom and ISP assets.
