Job description

As the HR Project Assistant you support the HR Director and on a project basis the HR team. This is a critical support role that combines administrative excellence with hands-on involvement across a range of initiatives spanning communications, analytics, marketing, and project execution. This is a key role in enabling the smooth operation of HR initiatives, managing complex schedules, and ensuring the Director is equipped to lead effectively.

o Executive Support & Calendar Management

  • Manage and coordinate complex calendars, scheduling meetings, internal/external engagements, and travel arrangements
  • Act as the gatekeeper and point of contact for the Director, ensuring efficient time and priority management

o Project Support

  • Assist in the planning, execution, and tracking of People & Culture projects
  • Monitor deadlines, deliverables, and follow-up actions

o Data & Reporting

  • Support the creation and analysis of reports related to employee engagement, workforce metrics, and culture initiatives
  • Maintain dashboards and provide insights through clear, data-driven presentations

o Marketing & Communications

  • Assist with drafting and designing internal communications (emails, newsletters, announcements)
  • Support the development of campaigns to boost internal engagement and cultural initiatives

o Graphic Design

  • Create visually engaging slide decks, infographics, and materials for workshops, presentations, and culture events using tools like Canva, Adobe Suite, or similar

o Administrative Support

  • Manage documents, records, and confidential materials
  • Support coordination of team events, workshops, and key cultural initiatives

o Qualifications & Skills

  • Strong proficiency in Microsoft Office and Google Workspace
  • Familiarity with data analysis and reporting tools (Excel, Google Sheets, or BI tools)
  • Graphic design experience (e.g., Canva, Adobe Illustrator/Photoshop)
  • Excellent written and verbal communication skills
  • Basic project management skills and tools (e.g., Trello, Asana, or similar)

o Experience

At least, 1–2 years of experience in a fast-paced, high-performance environment—ideally supporting a leadership role or project function in HR, marketing, or operations.
