About the Role:
This incumbent selected would support the PMO by delivering day-to-day operational, analytical & administrative assistance across the project portfolio. It ensures data accuracy, consistency in reporting & adherence to governance processes. By coordinating information & maintaining structured oversight, the position enables the PMO to monitor progress effectively. The role also helps drive alignment across stakeholders, providing clear visibility into project performance. Ultimately, it contributes to the successful execution and delivery of strategic initiatives across the organization

Key Responsibilities:
- Maintain and regularly update the centralized project repository (Notion, SharePoint, ERP) with charters, timelines, budgets, risks, and progress.
- Organize and coordinate governance meetings by scheduling, preparing agendas, collating pre-reads, and documenting minutes.
- Track assigned action items and proactively follow up with teams to ensure timely completion.
- Consolidate project status reports into standardized PMO dashboards and concise executive summaries.
- Gather and validate data to support KPI/OKR tracking and benefits realization reporting.
- Monitor adherence to PMO methodologies, templates, and approval workflows.
- Maintain accurate risk, issue, and change logs, ensuring regular review and escalation when needed.
- Facilitate communication and alignment between PMO, project managers, and cross-functional stakeholders.
- Prepare impactful presentations and updates for steering committees, leadership teams, and board meetings.
- Recommend and implement improvements to PMO tools, templates, and processes for efficiency and clarity.
- Support training and onboarding sessions to familiarize new team members with PMO standards and systems.
Qualifications & Requirements:
- Strong organizational and coordination skills – Ability to manage multiple priorities, track deliverables, and ensure smooth execution of tasks across projects and stakeholders.
- Proficient in project management tools (Notion, MS Project, Oracle NetSuite, Jira) – Hands-on experience in using modern PM tools for scheduling, progress tracking, collaboration, and reporting.
- Good analytical skills and attention to detail – Capable of interpreting data, identifying patterns or risks, and ensuring accuracy in project documentation and reporting.
- Strong MS Excel and PowerPoint skills; Power BI/Tableau knowledge is an advantage – Skilled in preparing detailed reports, dashboards, and presentations to support data-driven decision-making.
- Excellent communication skills for cross-functional interaction – Able to convey information clearly, coordinate with diverse teams, and support effective stakeholder engagement.
