The coordinator is responsible for managing the entire lifecycle of fabrication and production activities from project kick-off to site delivery. This includes planning, scheduling, coordinating with teams and suppliers, monitoring progress, and ensuring that all activities meet the design specifications, deadlines, and budget. The coordinator ensures seamless communication between all departments involved and manages site logistics and resource allocation.
MAIN ACCOUNTABILITIES:
1. Project Kick-off:
- Coordinate with the Project Manager (PM) to obtain necessary files, including the Scope of Work (SOW) with budget, releasing of job & tasks in Business Central, technical drawings (TD), and 3D visuals.
- Schedule the project kick-off meeting with all relevant departments to align project goals, timelines, and expectations.
2. Initial Planning and Coordination:
- Work with the Operations Managers of fabrication departments to coordinate workflow, prioritize tasks, and align fabrication activities across departments.
- Prepare the production schedule with the PM based on delivery priorities, ensuring the fabrication team has all necessary information to carry out production accordingly.
3. Production Scheduling and Communication:
- Act as the main point of contact for the fabrication team, addressing questions, confirming work scheduling, and ensuring deadlines are met.
- Coordinate with department supervisors to monitor progress, discuss delays, and communicate updates from project managers or other departments.
4. Coordination with Suppliers and Operations:
- Coordinate and follow up with all departments to ensure timely receipt of sample deliveries.
- Work with procurement to ensure suppliers have necessary measurements and installation schedules, and follow up for timely delivery of goods during fabrication.
5. Monitoring and Progress Follow-up:
- Conduct follow-up meetings with the production team to track work progress, identify delays, and recommend or take actions to mitigate risks to meet schedules.
- Oversee work quality to ensure compliance with design specifications.
6. Budget and Documentation Control:
- Monitor project budget, track costs, report variations, and ensure proper documentation sharing with the Project or Account Manager.
- Maintain updated records of job activities and ensure proper documentation.
- Update production libraries with new techniques and products post-project.
7. Site Delivery and Completion:
- Ensure build-up schedule is received from the PM.
- Ensure site team has necessary permits.
- Coordinate crew list requests and raise LOF for transport needs.
- Manage site logistics until final delivery, prepare delivery schedules, and ensure timely shipment of materials.
- Coordinate site activities, monitor progress, and address delays or issues.
- Collaborate with the site PM for progress updates and additional requirements.
- Handle financial requests and settlements post-project.
- Arrange site scaffolding, water, and other needs, and coordinate post-site material handling and storage.
8. Health, Safety, and Environmental Compliance:
- Ensure adherence to HSE policies throughout the project lifecycle.
Minimum Requirements:
- 5 years in exhibitions and events field
- English and Hindi speaker
- Good knowledge of AutoCAD & MS Office
- Understanding of production and project processes, able to articulate in writing and conversation
- Ability to read drawings and basic knowledge of raw materials used in the industry
- Ability to prioritize work, raise red flags, and adapt to last-minute changes
