Job Purpose To manage all hard and soft services under teslam scope of responsibilities at BNPP Site outside the restricted areas.
Key Activities, Responsibility & Accountability
Operational Planning Responsibility: • Coordinate and update systems and processes, as well develop and implement Hard & Soft Services related procedures; • Implement opportunities for the continuous improvement of practices to increase productivity and operational efficiency; • Monitor, control and report operational and financial KPIs related to Hard and Soft services provided by teslam;
Operations Management Responsibility: • Coordinate and monitor hard and soft services delivered under TFM agreement (Total Facilities Management); • Review contractor's performance and KPIs of services delivered; • Ensure work done in line with agreed standards and SLAs; • Manage relationship with facilities design and fit out work; • Coordinate external vendors and contractors to select the best inputs to the office expansion process; • Liaise with procurement department to prepare additional / new scope of services and review existing services for improvement, maximize benefit and decrease the cost;
Facility Management Responsibility: • Coordinate routine landscaping and gardening services management at areas on Site; • Coordinate and supervise general and specialist cleaning services, pest control and waste collection at site offices, accommodation, and the guesthouses; • Organize and monitor catering and laundry services at site ensuring work done meets agreed KPIs & SLAs; • Supervise utilization of existing office space and provide recommendation plan for office space management improvement; • Ensure proper management of office pantries across all facilities; • Participate in projects related to layout design, furniture allocation, interior design modification and review drawings illustrating space utilization efficiency and ergonomic use; • Participate in special studies, benchmarking and self-assessments, report research and analysis in the area of facilities planning and facilities management of soft and hard services; • Provide necessary support during internal and supplier auditing along with supplier site audits and create the action plan based on the findings;
General Service Responsibility: • Manage all required resources for support services including office services, utilities, housekeeping, transportation and cleaning; • Ensure the supply of office consumables (stationery, pantries provision, coffee stations provision); • Monitor pantry services management and coordinate with catering supervisor and Head of Hospitality and Community Management when required; • Process stationery orders for standard and non-standard stationery type; • Coordinate reception areas and ensure the excellence of services;
HSE, Security & Continuity of Operations Responsibility: • Adherence to all HSE requirements, procedures and policies; • Ensure all hard and soft services activities comply with HSE requirements and standards; • Ensure all hard and soft services team have valid certifications, qualifications and work experience to perform job; • Assess HSE risks of both routine and non-routine; • Follow all relevant Security policies, procedures and instructions; comply with all Security requirements while maintenance job performed; • Ensure compliance with corporate requirements or adherence to policies, procedures and instructions related to Crisis Management and Business Continuity to ensure continuity of maintenance critical operations;
Professional Certifications Minimum Facility Management Certification
Qualifications Minimum Bachelor Degree in Engineering/Facilities Management or Business Administration
Experience Minimum Minimum 5 years of relevant experience in Soft & Hard Facilities Management section
