Job summary

Responsibilities

• Maintain sufficient inventory of material supplies and equipment, report material shortages to the supervisor promptly, and keep records for ordering and replenishment.
• Perform all managerial functions common to the department level, either directly or through delegation to assigned personnel.
• Provide consultative services in the overall development of pharmacy services policies, procedures, and standards, including the patient‑care evaluation program related to drug use and effectiveness.
• Ensure adherence to approved ethical and professional practice by maintaining proper storage, preparation, and dispensation of all chemical, biological, and pharmaceutical drugs, and by carefully monitoring records, documents, and monthly reports.
• Administer field‑wide control for standard procedures regarding storing, handling, recording, dispensing, and distribution of all regularly stocked and specially prescribed pharmaceuticals.
• Responsible for procurement, stock maintenance, and ledger maintenance of narcotic, controlled, and psychotropic drugs; submit monthly, quarterly, and annual reports to the Ministry of Health.
• Direct the design and publication of the annual drug formulary, serving as a reference of all approved drugs for medical personnel.
• Review pharmaceutical manufacturers’ catalogues, brochures, and professional reference materials for use by medical personnel.
• Control inventory physically in the pharmacy, initiate all LPOs for faxing to suppliers, and provide reports and explanations to internal and external auditors.
• Ensure availability of medicines as per the formulary and act as co‑chairman of the Pharmacy and Therapeutics Committee, advising on treatment criteria, cost, and correct drug usage.
• Make immediate decisions upon receipt of any circular or letter from the Ministry of Health recommending withdrawal or discontinuation of medication, and report any unexpected adverse effects.
• Ensure all employees receive mandatory fire safety, infection control, and in‑house educational training in accordance with regulations.
• Keep staff informed of current developments through group discussions, lectures, and in‑service training; collaborate with departmental personnel in planning program for total patient care.
• Plan and maintain master work schedules, including leaves of absence, vacations, holidays, and weekend schedules.
• Develop and maintain professional quality standards, recommend improvements, and direct personnel functions, including orientation of new employees.
• Promote continuous quality improvement measures, conduct method evaluation and development per standard policies, and comply with all safety and quality control programs.
• Support clinical audit processes, report on audits as agreed, and communicate professionally with patients, families, and medical personnel to obtain information, clarify orders, and explain procedures.
• Participate in education sessions for department staff, doctors, and nurses on safe handling of equipment, peer review, case studies, and clinical presentations; join committees and staff meetings as requested.
• Participate in orientation and training of new employees and maintain professional knowledge through lectures, seminars, and online education.
• Complete all regulatory requirements, licensure, certification, and mandatory training within established time frames; apply technical skills with knowledge of anatomy, physiology, and physics.
• Comply with Occupational Safety and Health Management Systems, reporting hazards, incidents, near‑misses, preparing risk assessments, attending trainings, drills, and audits.
• Adhere to Prevention and Control of Infection policy, practice hand hygiene, maintain environmental care, and implement waste‑management procedures.

Qualifications & Licensure

• Pharmacy Degree from an accredited college or school of pharmacy.
• Five (5) years of experience in hospital pharmacy and/or clinical pharmacy, including at least two (2) years in pharmacy administration.
• Current license in the country of origin with a DHA license to practice in the UAE.
• Good command of English; Arabic is desirable but not essential.
• Thorough knowledge of DHA policies and regulations regarding pharmaceuticals.
• Ability to gain the confidence of and work with all levels in the medical services, applicable departments, and Dubai Municipality officials or their representatives.
• Specialist Certification in NAD (required); additional certifications desired.
• Self‑motivation and ability to work under pressure.
• Fluent spoken and written English; spoken Arabic advantageous but not essential.
• Supportive and caring disposition; adaptability and good time‑management skills.
• Confidence in dealing with stressful situations and competency in IT.
