Job Title: Personal Assistant to Executive Director – Multi-Business Holding Company (Real Estate & Hospitality Focus)

Overview

We are seeking an exceptional Personal Assistant to provide high-level executive support to the Executive Director of a diversified holding company with interests in real estate, hospitality, and other business ventures. This role requires impeccable organisational skills, absolute discretion, and the ability to anticipate the needs of a fast-moving executive managing multiple companies across multiple jurisdictions.

Key Responsibilities

Executive Support

  • Manage an extremely busy and frequently changing calendar across multiple time zones.
  • Coordinate and prepare for meetings, calls, and events — including briefing materials, agendas, and follow-ups.
  • Handle confidential communications with professionalism and discretion.
  • Filter and prioritise incoming requests, ensuring the Executive’s time is used effectively.
  • Collaborate seamlessly with other PAs and team members based in Dubai, India, and London.

Corporate Administration

  • Maintain an up-to-date register of all personal and corporate entities, including structures across multiple jurisdictions.
  • Organise, track, and ensure easy access to all corporate paperwork required by the Executive Director.
  • Coordinate with service providers to obtain directors’ information and other documentation for the formation of new companies in the UAE and internationally.
  • Prepare, organise, and liaise on paperwork required by bankers globally for account openings, compliance, and ongoing requirements.

Travel, Events & Functions

  • Arrange complex domestic and international travel — flights, private charters, visas, accommodation, and itineraries.
  • Assist with visa applications and passport renewals for the principal — including US, Schengen, and other destinations.
  • Utilise AI tools to optimise travel planning, create schedules, and summarise itineraries for efficiency.
  • Organise high-profile corporate and hospitality functions, including launch events, investor gatherings, and VIP occasions.

Operational & Administrative

  • Maintain accurate digital and physical filing systems for corporate and project documentation.
  • Monitor and track project deadlines, key deliverables, and follow-up actions.
  • Use AI tools to take and summarise meeting notes, streamline communications, and improve workflow efficiency.
  • Be highly responsive via iPhone and digital communication tools to ensure timely and proactive responses to messages and emails.
  • Proven experience supporting a C-suite executive, entrepreneur, or business owner in a demanding, fast-paced environment.
  • Strong understanding of corporate structures, compliance documentation, and banking requirements in the UAE and internationally.
  • Exceptional organisational and multitasking skills with the ability to prioritise effectively.
  • High level of discretion, loyalty, and confidentiality.
  • Fluent and well-spoken in English, ideally at native level.
  • Excellent written and verbal communication skills; polished, professional manner.
  • Strong tech skills — proficient with MS Office, Google Workspace, project management tools, and AI platforms for productivity.
  • Able to work flexible hours to accommodate global time zones.
