Job description

Role Purpose

The People Operations Coordinator provides day-to-day support across core HR operational areas, including recruitment, onboarding, documentation, and payroll preparation. This position plays a key role in helping the HR department maintain consistency, accuracy, and efficiency during a critical period of growth. The role is designed for someone with a proactive mindset, able to follow through on execution while contributing to process improvements.

Key Responsibilities

1. Recruitment Support

  • Publish job postings across LinkedIn and other job platforms
  • Manage candidate responses and track application pipelines
  • Coordinate interview scheduling with candidates and hiring managers
  • Assist in drafting offer letters and formatting employment contracts
  • Maintain recruitment trackers and update hiring status logs

2. Payroll Preparation

  • Collect and consolidate monthly coaching reports from CRM
  • Cross-check hours against internal logs for accuracy
  • Prepare salary inputs for coaches, receptionists, and back-office staff
  • Flag inconsistencies and prepare monthly files for final review by HR Specialist

3. HR Administration

  • Maintain and organize employee files (digital and hard copy)
  • Track leave balances, absences, and probation periods
  • Manage HR-related documents such as NOCs, salary certificates, visa forms
  • Follow up on renewals, document expiries, and compliance requirements

4. Onboarding & Offboarding Coordination

  • Prepare onboarding kits and welcome checklists
  • Coordinate with other departments to arrange system access
  • Schedule introductions and induction sessions
  • Collect exit forms, IDs, and ensure documentation is closed properly

5. System & Workflow Coordination

  • Support the improvement of HR templates and processes
  • Help digitize tracking sheets and reduce manual work
  • Maintain accurate HR logs including: staff lists, contact details, contract renewals, etc.
