Our Patent Team is growing, and we are looking for a Patent Assistant to join our Dubai Office.
This is an entry-level opportunity for a motivated, organized, and detail-oriented individual who is interested in developing a long-term career in patents and intellectual property. The successful candidate will work closely with our patent professionals and gain practical exposure to the full lifecycle of patent matters, including patent filing, prosecution, formalities, docketing, client coordination, patent office procedures, and portfolio management across the MENA region.
Key Responsibilities
- Support the entry and management of patent cases and related documents in the firm's IP Management System (IPMS).
- Maintain accurate patent records, case files, deadlines, and docketing updates.
- Assist in preparing and organizing patent applications, forms, supporting documents, and correspondence.
- Coordinate with clients, foreign associates, patent agents, and patent offices to obtain required documents and information for patent filings and related procedures.
- Assist in monitoring patent prosecution timelines, official deadlines, and communications throughout the lifecycle of patent applications.
- Follow up with clients, associates, and internal teams to ensure that documents, instructions, and information are received within the required deadlines.
- Generate and maintain patent status reports and monitor the progress of cases across different jurisdictions.
- Assist with billing and administrative matters relating to patent cases.
- Provide general administrative and procedural support to the Patent Team as required.
Qualifications & Skills
- 0–2 years of professional experience, preferably in intellectual property, patents, legal administration, or a related field.
- Fresh graduates and candidates with limited IP experience are encouraged to apply.
- Knowledge of, or limited experience in, filing and managing patent applications through the UAE portal, as well as handling patent-related administrative and procedural tasks in the MENA region, is considered an added advantage.
- Strong organizational skills and the ability to manage multiple tasks and deadlines.
- Excellent attention to detail and accuracy when handling documents, records, and deadlines.
- Strong written and verbal English and Arabic communication skills.
- Ability to work effectively in a fast-paced, deadline-driven professional environment.
- Good proficiency in Microsoft Office, particularly Outlook, Word, and Excel.
- Fluency in both English and Arabic is required.
