Job description

Our client is a pioneering hair transplant organisation with its clinic based in Istanbul and Medical Consultancy Offices located in London, Istanbul and Tirana. As part of their expansion plan, they have opened offices in Dubai and are looking to hire an exceptional, experienced PA Office Manager.

Are you a diligent professional, with high-intellect, astute attention to detail and the ability to multi-task at an expert level?

Do you have exceptional verbal and written English skills, emotional intelligence and the skill set to prioritise high workloads?

Do you have experience in working to deadlines, juggling multiple projects and dealing with C-suit level managers?

Do you have excellent organizational skills and understand the importance of confidentiality and discretion?

RESPONSIBILITIES:

  1. Manage daily office operations, including scheduling appointments, maintaining client records, and overseeing correspondence.
  2. Assist the executive team with administrative tasks, including preparing reports, drafting communications, and organizing meetings and travel.
  3. Coordinate with head office accounting teams to ensure accurate and timely financial management information is submitted to the local outsourced accounting function.
  4. Implement office policies and procedures to improve workflow and enhance overall efficiency.
  5. Handle inquiries from clients, providing professional support and guidance regarding services offered.
  6. Maintain office supplies and equipment, making necessary orders to keep the office running smoothly.
  7. Support marketing initiatives where necessary and assist with the organisation of events.
  8. Coordinate with Government Departments where necessary especially with regards to employee residency visas and other labour law matters.

CANDIDATE PROFILE

This client operates in an image conscious sector so exceptional personal grooming is essential for this role and they have a formal business attire dress code for all employees. In addition you must have:

  1. Proven experience as a Personal Assistant or Office Manager, preferably in the healthcare or medical consultancy sector, although this sector experience is not essential.
  2. Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities simultaneously.
  3. Punctual and reliable with a willingness to go the extra mile to achieve results.
  4. Excellent communication and interpersonal skills with flawless English being an absolute necessity.
  5. A customer-focused can-do approach.
  6. Proficiency in Microsoft Office Suite and experience with office management software.
  7. Ability to maintain confidentiality and handle sensitive information appropriately.
  8. A proactive mindset and capability to work independently as well as within a team.
  9. Knowledge of UAE Visa regulations and local labour laws are required.
