A leading consulting firm is seeking an Operations Coordinator to ensure smooth post-sales processes and client communication in real estate. You will assist in data processing, track deliverables, and ensure quality control, while maintaining effective coordination within teams. Ideal candidates should possess a bachelor's degree, have 1-5 years experience in operations, and demonstrate excellent communication and organizational skills.
This position ensures smooth day-to-day execution of post-sales processes, assists with reporting, and supports internal and external communication to meet client expectations. The ideal candidate is detail-oriented, proactive, and committed to service excellence.
Key Responsibilities:
1. Operational Coordination
• Assist in daily processing of project data received from clients, ensuring completeness and correctness before task allocation.
• Monitor task queues and follow up with team members to meet defined turnaround times (TATs).
• Maintain a checklist for all deliverables and update task status in line with project SLAs.
• Issuance preparation- Booking forms, Invoices, Receipts, SOA, Resale documents, Amendments, Oqood registration, DSR data entry, default and termination documents
• Track document flow between clients, operations, and other departments, ensuring timely handovers.
2. Client Support & Communication
• Support in responding to client inquiries within 24 hours in coordination with the Senior Team Leader.
• Draft and send routine client communications for confirmations, clarifications, and documentation.
• Attend client check-ins and document minutes of meetings, following up on agreed actions.
3. Data Review & Quality Control
• Perform first-level checks on data for accuracy before submission to the Senior Team Leader.
• Flag discrepancies or missing information to the appropriate team for resolution.
• Assist in ensuring that processed data aligns with service process maps and internal standards.
4. Documentation & Filing
• Ensure that all incoming and outgoing documents are uploaded to the e-filing system within 24 hours.
• Conduct weekly checks to ensure filing accuracy and document completeness.
• Support document archiving at the end of each project phase in coordination with the team.
5. Reporting Assistance
• Assist in compiling weekly project reports including task volumes, delays, and error logs.
• Track billing and TAS-related documentation to support accurate invoicing and reconciliations.
• Coordinate with the finance and operations teams to follow up on outstanding inputs for reports.
6. Internal Team Coordination
• Act as a point of contact for daily task clarification among the reporting team.
• Share updates on any changes in process flows or project requirements.
• Assist in scheduling internal training sessions and capturing attendance or feedback.
7. Training & Go-Live Support
• Support onboarding and refresher training for internal staff and external clients under the supervision of the Senior Team Leader.
• Follow up with the Tech/CRM team to ensure tasks related to system submissions are on track.
• Monitor client readiness for go-live and coordinate with internal teams to meet timelines.
Key Performance Indicators (KPIs):
• Timely processing and submission of tasks within assigned TATs
• 95%+ accuracy rate on task checks and data entries
• Timely response to client/internal emails within 24 hours
• No delays in document uploads or task checklist maintenance
• Weekly reports submitted on time with complete data
Job Requirements:
Education & Experience
• Bachelor’s degree in Business Administration, Operations, or a related field
• 1–5 years of experience in operations, client servicing, or project coordination -real estate experience
Desired Candidate Profile
• Good communication skills (spoken and written English)
• Proficient in MS Office (especially Excel and Outlook)
• Detail-oriented with strong organizational and follow-up skills
• Team player with a cooperative mindset
• Able to handle routine tasks efficiently under supervision
• Professional attitude with the ability to interact with clients respectfully
Other Requirements
• Formal attire and presentability in client-facing situations
• UAE Driving License is an advantage but not mandatory
Role open for candidates based in the UAE only. Must have current or previous experience in the real estate sector.
