Dubai DIFC onsite Full-Time Monday through Friday 9:00 AM to 6:00 PM

Job Summary:

We are seeking a highly organized and proactive Operations Specialist to join our team. The ideal candidate will have excellent communication skills, a knack for problem-solving, and the ability to manage multiple tasks efficiently. As an Operations Specialist, you will ensure the smooth operation of our office environment, support staff and management, and handle various administrative duties.

Key Responsibilities:
  1. Receiving Customer Submissions: Be the point of contact with customers and dealers to receive and organize receipt of their grading submissions across all CCG verticals.
  2. Greeting & Scheduling Customers: Schedule appointments with customers, greet them upon arrival, direct them to the appropriate meeting location, and provide basic hospitality.
  3. Office Management: Oversee daily office operations, including managing supplies, equipment, and facilities.
  4. Administrative Support: Provide support to senior management and staff, including scheduling meetings, handling correspondence, and preparing documents.
  5. Record Keeping: Maintain accurate records and files, including business records, invoices, and other important documentation.
  6. Communication: Act as the point of contact for internal and external communications, including phone calls, emails, and visitors.
  7. Event Coordination and Participation: Assist with planning and coordinating events, meetings, and conferences, and support the team during these events.
  8. Compliance: Ensure office procedures and operations comply with company policies and relevant regulations.
What Will Help You Succeed:
  • Education: High school diploma or equivalent; an associate's or bachelor's degree in business administration or a related field is preferred.
  • Experience: Minimum of 1 year working in an office environment in administrative, customer service, or logistics roles.
  • Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
    • Strong organizational and multitasking skills
    • Excellent verbal and written communication skills in English and Arabic
    • Ability to handle sensitive and confidential information
    • Familiarity with office management procedures
  • Personal Attributes: Reliable, detail-oriented, proactive, honest, and able to work independently as well as part of a team.
  • Interest in collectibles is a plus, but not required; training will be provided.
