Operations Manager- Facilities Management Soft Services

We are currently recruiting for an Operations Manager - Facilities Management Soft Services to join our Facilities Management team in Dubai.

Scope: Responsible for overseeing all aspects of cleaning operations, ensuring the delivery of high-quality cleaning services, maintaining client satisfaction, and managing the staff efficiently. This role requires strong leadership, organizational, and problem-solving skills to ensure that all cleaning activities are conducted to the highest standard.

Financial

• Ensure daily deployments to be maintained as per the contractual.
• Ensure invoices information and client approvals are shared within the stipulated time frame.
• Monitor all contract spends under the budgetary line.
• Ensure contractual KPIs are maintained as per scope.
• Identify and implement cost-saving initiatives without compromising on service standards.
• Manage the inventory of cleaning supplies and equipment ensuring adequate stock levels are maintained.

Customer

• Responsible for the coordination with all internal stakeholders for new contract mobilization.
• Maintain healthy and effective business communication with internal departments.
• Develop and maintain a good working relationship with clients and hold regular meetings to ensure the smooth running of the contracts.
• Timely actions on client escalations and other operational needs.
• Identify and address any operational challenges or issues that arise, implementing solutions to improve efficiency.
• Identify opportunities for process improvements and implement innovative solutions to enhance efficiency and effectiveness.
• Ensure all cleaning operations comply with health and safety regulations and company policy.
• Provide training to staff on safe cleaning practices and proper use of cleaning chemicals and equipment.

Process

• Ensure the work schedules are created in line with contractual scope for seamless delivery.
• Maintain, monitor, and review all service level agreements within the contract scope of work on a monthly basis.
• Report any service variations to the contract to the account manager and ensure these are reviewed and agreed with the client.
• Effective utilization of CAFM systems.
• Maintain accurate records of cleaning activities, staff performance, inventory levels, and financial performance.
• Prepare regular reports for senior management on operational performance, client satisfaction, and financial metrics.
• Ensure all contract documentation related to service is up to date and compliant with company policies and regulatory requirements.
• Conduct regular inspections of cleaning activities and sites to ensure quality standards are met.
• Develop and maintain a system for client feedback to continuously improve service delivery.

Innovation

• Identify and implement technology solutions.
• Improve cleaning effectiveness by developing new cleaning methods.
• Create customized cleaning solutions.

Selection Criteria

• 3-5 years of experience in a similar capacity.
• Bachelor's degree.
• Certified in BICS preferred.
• Excellent English written and communication skills.
• Valid UAE driving license.
• Extensive knowledge of computer/reporting systems.
• Excellent knowledge of CAFM systems.
• Strong organizational and problem-solving abilities.
• Ability to manage multiple priorities and work under pressure.
• Regular travel to client sites for inspections and meetings.
• May require working outside of regular business hours to meet client needs.
