Job Title: Operations Manager Assistant

Location: Abu Dhabi, UAE
Job Type: Full-time

Job Summary:

We are seeking a highly organized and results-driven Operations Manager Assistant to support the operational and project management functions of our healthcare recruitment firm. The ideal candidate should have strong experience in operations management, with a background in healthcare and exposure to PMO (Project Management Office) practices. A PMP certification is preferred. This role is critical to ensuring smooth day-to-day operations, enhancing internal processes, leading key projects, and contributing to the overall growth and efficiency of the organization.

Key Responsibilities:
  • Assist the COO (Chief Operating Officer) in overseeing the day-to-day functions of the business, ensuring smooth delivery of recruitment services.
  • Lead and support cross-functional projects under the PMO framework, ensuring alignment with organizational goals and timely execution.
  • Monitor, evaluate, and improve operational processes, workflows, and key performance indicators (KPIs).
  • Assist the COO in managing and maintaining smooth day-to-day operations across all departments.
  • Monitor, evaluate, and improve operational workflows and internal processes for greater efficiency and quality.
  • Contribute to the development of frameworks and preparation of operational documentation, guidelines, and process improvement plans.
  • Coordinate closely with recruitment, licensing, and administrative teams to ensure process alignment and seamless execution of tasks.
  • Prepare detailed reports, dashboards, and updates on operations, project status, and performance metrics for senior management.
  • Create and maintain detailed project documentation including plans, schedules, budgets, reports, and risk registers.
  • Support implementation of project management methodologies and tools across departments to ensure consistency and efficiency.
  • Coordinate with internal teams and external stakeholders to ensure proper communication and collaboration across all phases of operations.
  • Assist in preparing business performance reports for leadership and offer recommendations for strategic improvements.
Requirements:
  • Certification: Project Management Professional (PMP) certification is preferred.
  • Experience:
    • Minimum 3-5 years of experience in operations or project management roles.
    • Prior experience working within a PMO environment is required.
    • Healthcare industry experience is highly preferred.
  • Skills:
    • Strong understanding of project management frameworks and tools (e.g., MS Project, Jira, Asana).
    • Excellent organizational and time management skills.
    • Strong analytical and problem-solving abilities.
    • Excellent verbal and written communication skills.
    • Ability to work under pressure and manage multiple priorities simultaneously.
  • Education: Bachelor’s degree in Business Administration, Healthcare Management, HR, or a related field. A Master’s degree is an advantage.
  • Language: Fluent in English; Arabic is a plus.
  • Location: Based in Abu Dhabi, UAE.
Preferred Qualifications:
  • Proactive and solutions-oriented mindset with the ability to anticipate needs and act independently.
  • Demonstrated ability to support and assist management in daily operational decisions and strategic planning.
  • Strong leadership qualities with a hands-on approach to problem-solving and team coordination.
  • Technically proficient in tools such as:
    • Microsoft Office Suite (Word, Excel, PowerPoint)
    • SmartSheets
    • Dropbox and cloud-based file management systems
    • Calendar and schedule management (Outlook, Google Calendar)
    • Taking and organizing Minutes of Meetings
  • Experience working in healthcare or healthcare-related operations in the UAE is an advantage.
