We are committed to developing innovative solutions for our customers and are seeking to hire an Operations Manager to support our ambitious growth plans.
ABOUT THE ROLE
The operations manager is responsible for overseeing the day-to-day activities related to the fleet availability, allocation, maintenance and the administration of the departments involved to ensure a smooth, efficient, and profitable operation.
Key Responsibilities:
Operations
- Continuously reviewing and optimizing operational processes to improve efficiency and reduce costs.
- Analyzing data to identify trends, optimize operations, and make data-driven decisions
- Managing the availability, allocation, and maintenance of vehicles.
- Optimizing the process and procedures towards reducing repeat complaints and the turnaround time of the vehicles at internal and external workshop vendors.
- Developing and implementing emergency response plans to handle incidents such as accidents, natural disasters, and security threats.
- Managing insurance claims and working with insurance providers to minimize losses and expediting the claim approval processes.
- Preparing for and conducting regular audits and inspections to identify and address compliance issues
- Ensuring regular servicing, inspections, and repairs to keep vehicles in optimal condition.
- Overseeing accident vehicle repairs, preventive & corrective maintenances and replacements to maintain a cost-effective fleet
- Building and maintaining strong relationships with vendors, including maintenance providers, and insurance companies.
Miscellaneous (Workshop Related)
- Achieving and improving the standard set for the workshop, servicing, sales and replacement.
- To follow-up with all business locations or sites on the vehicles due for service or repair.
- To ensure that all the service vehicles will be received from the agency/workshop/external vendors on the scheduled day of return.
- On a daily basis, reconcile or settle with internal workshop regarding the physical job cards and make sure that all the vehicles are made available for hire/rehire
- To review and assess the parts waiting list and do necessary arrangements for parts
- To follow-up with the operations clerk/operations assistant to confirm all the job cards are being sent to the concerned department on time.
- To keep away from any delay in getting vehicles due to non-availability of parts from agency by means of coordinating with the workshop manager.
- Negotiate and discuss the price with the agency and to get the maximum discounted cost before approving the estimate repair.
- To monitor and check any delay from the agency/internal workshop/external vendors.
- To follow-up with the recovery department and ensure that all the vehicles will be carried out on time.
Office Administration
- To initiate/sign and monitor all the LPOs as per the policies and procedures.
- To follow-up with the traffic department and ensure that all the new registration/renewals and any other traffic related issues are completed without any delay.
- To obtain and do the tracking of all new vehicles delivered by the vendor.
- To speed up the process of new car registrations and delivery on time.
- In charge and accountable for drivers and related issues.
- To provide staff transportation and solve any associated concerns with regards to transport.
- To ensure that drivers are available at locations as and when required.
- To validate workshop invoices on a daily basis.
- Office correspondence that includes internal and external memos.
- To provide replacement drivers.
- Prepare reconciliation statements of fuel vendors
- Prepare accident report to customers.
- In charge of staff incentive related to the nature of the task being handled as well as the overtime.
- Accountable / responsible for miscellaneous invoices.
- Preparation of staff leave plan and ensure having replacements for all.
- To prepare and evaluate the performance of drivers and forward to the HR department.
- Responsible for vehicle insurance related work, fuel issues, salik etc.
- To follow-up all invoices related to operations.
Operations Department
- Responsible for vehicle registration and renewal processes.
- All traffic fines follow-up and registration and renewal issues.
- To follow-up on a daily basis the traffic fine payments.
- To follow-up discharge impounded vehicles.
- To assist the commercial department to clear the documents required to dispose the vehicles.
- To check and verify all sale car documents and transfer the total loss vehicles to the insurance companies.
- Ensure that all operational costs on account of the following are kept to the minimum:
Staff Costs including overtime
Fuel Costs including control on non-revenue mileage
Repair and maintenance costs
Communication costs
Other miscellaneous operational costs
ABOUT YOU
- Bachelors Degree in Business Administration, operations management or related field.
- Proven experience in Managing Operations, good track of record in operations success and handling team.
- Strong leadership and organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
- Excellent problem-solving abilities.
- Certification or Strong background in Automotive Technology, Mechanical Engineering, or a related field is preferred.
- Valid UAE driver’s license
