Job description

ADSS is a successful retail and institutional brokerage based in Abu Dhabi. KEY RESPONSIBILITIES

  • Provide comprehensive administrative support to the CEO, including calendar management, meeting coordination, and travel arrangements.
  • Organise and prepare agendas, materials, and documentation for meetings, ensuring the CEO is well-prepared for all engagements.
  • Maintain effective communication with internal and external stakeholders on behalf of the CEO, representing the company in a professional manner.
  • Manage the office environment, ensuring it is organised, professional, and conducive to productivity, including overseeing supplies and equipment maintenance.
  • Develop and implement office policies and procedures to improve operational efficiency and support the CEO’s objectives.
  • Assist in the preparation of reports, presentations, and correspondence, ensuring accuracy and attention to detail.
  • Handle confidential and sensitive information with discretion and integrity. Act as a liaison between the CEO and other departments, fostering collaboration and ensuring alignment on priorities.
  • Support the CEO in special projects and initiatives, conducting research and analysis as required.
  • Provide exceptional customer service to visitors and clients, ensuring a welcoming and professional atmosphere in the office.
  • Assess and mitigate risks associated with the role, managing and escalating issues to senior management as needed.

ABOUT YOU

  • 3 - 5 years of experience in an executive support role or office management position, preferably in a corporate environment.
  • Bilingual: English and Arabic required; additional languages would be advantageous.
  • Bachelor's degree in Business Administration, Management, or a related field.
  • Proven experience in project management and strategic planning.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills, with a strong command of business language.
  • Exceptional organisational skills and attention to detail, with the ability to prioritise tasks effectively.
  • Strong interpersonal skills, with the ability to build relationships and communicate effectively with senior management and stakeholders.
  • Ability to work independently and collaboratively as part of a team, demonstrating initiative and professionalism.
  • Strong problem-solving skills and the ability to adapt to changing priorities in a fast-paced environment.
