About the Role
As Office Manager, you will ensure the smooth and efficient functioning of LINKVIVA's office operations, providing high-level support to leadership and teams. This role is central to the day-to-day management of the workspace, facilities, vendor relationships, budgeting, and supporting both People & Culture and Client Experience teams. You will play a key role in cultivating a productive, organized, and positive environment.
What You'll Do
- Manage Day-to-Day Operations: Oversee scheduling, travel coordination, filing systems, and general administrative functions.
- Support Facilities & Inventory: Ensure the workplace is clean, maintained, and equipped (including IT and video studio inventory).
- Oversee Vendor Relations: Negotiate contracts, manage deliveries, and maintain strong external partnerships.
- Budget & Procurement: Develop and manage office budgets, control expenses, and handle petty cash/Alaan Card reconciliations.
- Support People & Culture Initiatives: Assist with onboarding, welfare calendar activation, and new joiner experience.
- Champion Client Relations: Coordinate corporate gifting, maintain the client database, and lead communication for milestone moments.
- Support Internal & External Comms: Help with marketing content creation and internal communications in collaboration with the marketing team.
- Legal & Compliance: Ensure licenses, certificates, insurance, and ISO processes are updated and maintained.
- ISO Management: Act as Management Representative for ISO 9001 Certification.
- Reception Oversight: Supervise office assistants and ensure a welcoming, organized front-of-house presence.

What You Need to Apply
- 5+ years of experience in office management or senior administrative roles.
- Proven ability to manage office operations, budgets, vendors, and support functions.
- Fluent in written and spoken English.
- Proficiency in Microsoft Office and office management software.
- Previous experience working in the Middle East is preferred.
- Demonstrated experience in supporting leadership and managing confidential information.
