Job Title: Office Manager

Location: Dubai, UAE

Job Overview

As Office Manager, you’ll be the operational backbone of our client, ensuring smooth day-to-day administration, maintaining a welcoming and efficient office environment, and supporting both the creative and leadership teams with organisational needs. This is a pivotal role that bridges HR, finance coordination, facilities management, and team culture.

Key Responsibilities

1. Office Operations & Administration

  • Manage daily operations of the studio, including supplies, scheduling, equipment, and vendor coordination
  • Maintain a well-organized, creative, and inspiring office environment
  • Act as the main liaison with building management, IT service providers, and other external vendors
  • Handle office lease, insurance, maintenance, and security requirements

2. HR & Team Support

  • Coordinate onboarding and offboarding processes
  • Maintain employee records, attendance, and leave tracking
  • Support employee engagement, team events, birthdays, and culture-building activities
  • Assist with recruitment coordination (scheduling interviews, candidate communication)

3. Finance & Procurement

  • Manage petty cash, office budgets, and expense reporting
  • Coordinate with the finance team for invoicing, supplier payments, and payroll inputs
  • Handle procurement of office equipment and software licenses

4. Executive Assistance

  • Provide administrative support to senior leadership including calendar management, travel coordination, and meeting logistics
  • Prepare reports, presentations, and internal documents as needed

Requirements

  • Minimum 3 years of office management or administrative experience, preferably in a creative or agency environment
  • Strong organisational, multitasking, and communication skills
  • Proficient in Microsoft Office, Google Workspace; familiarity with project management tools (e.g., Notion, Asana) is a plus
  • Fluent in English; Arabic is an advantage
  • Positive, approachable, and solutions-focused attitude
  • Based in Dubai with valid work authorization
