Job description

We are hiring an experienced HR & Office Manager for one of our clients based in Dubai.

THE ROLE:

As an integral part of the Leadership Team, the HR and Office Manager is responsible for overseeing DHA licensing and liaison, human resources practices, and processes. The role involves managing DHA liaison activities, recruitment, employee relations, performance management, training & development, and administrative activities such as office supply procurement, file management, and administrative support. The manager works closely with Finance and the Leadership team to ensure the efficient delivery of administrative and HR functions.

RESPONSIBILITIES:

  1. DHA Liaison and Management of Medical Professional Licensing:
  2. Processing medical license applications and activations
  3. Monitoring license validity and renewal processes
  4. Ensuring medical professionals meet CPD requirements, including sending reminders three months before license renewal
  5. Assisting new doctors (new to UAE) with Self-Assessment, Dataflow, and DHA registration
  6. Maintaining up-to-date DHA documentation for licensed professionals (trainings, licenses, BLS, Fire Safety certificates)
  7. Adding professionals to Medical Malpractice Insurance (MMI) after license activation
  8. Processing facility license renewals
  9. Preparing for DHA inspections post-renewal, liaising with Operations for compliance
  10. Processing amendments to facility licenses (e.g., adding specialties, changing rooms)
  11. Sharing DHA updates with the Operations Manager to inform the team

REQUIREMENTS:

  • Excellent knowledge of Dubai Health Authority regulations, UAE labour law, and HR best practices
  • Previous experience in DHA licensing, HR, and administration roles within a medical facility
  • People-oriented, results-driven, with excellent time management skills
  • Ability to multitask and pay attention to detail
  • Strong active listening, negotiation, and presentation skills
  • Ability to build and manage interpersonal relationships at all levels of the company
