Job Description

Job Responsibilities:

Manage responsibilities in the heavy equipment rental industry, including front-desk duties and backend compliance/admin tasks.

Key Responsibilities:
Customer & Rental Coordination:
  • Handle calls with customers to confirm equipment availability, share pricing, and rental terms.
  • Follow up for service feedback, rental extensions, and documentation.
  • Prepare rental quotes, agreements, and coordinate dispatch.
  • Maintain accurate rental records.
  • Serve as main contact for staff, customers, and vendors.
  • Coordinate rental agreements, quotes, purchase orders, work orders, and billing.
  • Manage equipment inventory and job assignments.
  • Schedule deliveries, pickups, and service appointments.
  • Support accounting with invoicing and payments.
  • Assist with onboarding and safety compliance documentation.
  • Handle inquiries via phone, email, and walk-ins.
  • Register vendors and update databases.
  • Coordinate vendor services and repairs.
  • Manage RTA registrations and renewals for equipment and vehicles.
  • Handle insurance applications and renewals.
  • Apply for or renew municipality permits.
  • Ensure compliance with local transportation and construction regulations.
General Office Duties:
  • Schedule meetings and coordinate with teams and partners.
  • Track and renew certifications, inspections, and licenses.
  • Maintain organized digital and paper files.
