Job description

Maintain Office

  • Clean shared office spaces including kitchen and reception areas
  • Clean the toilet every 3 hours including ensuring tissues and air fresheners are available
  • Maintain and refill the office water coolers and advise manager when new orders are required
  • Maintain and clean the dishwasher, dishes, coffee maker, etc daily
  • Monitoring visitor logs, issuing security badges, and ensuring adherence to safety protocols.
  • Maintaining a clean, organized, and presentable reception area, ensuring it is stocked with necessary supplies
  • Welcoming guests, providing directions, and connecting them with the appropriate person or department

Administrative Tasks

  • Collect and distribute mail, faxes, printed documents
  • Responsible for dispatch and receipt of couriers
  • Filing, copying, collating as required for the business
  • Monitoring inventory, ordering supplies, and maintaining stock levels.
  • Booking meetings, managing calendars, and coordinating appointments.
  • Receiving, sorting, and distributing incoming mail and packages, and preparing outgoing mail.
  • Managing a multi-line phone system, answering calls, taking messages, and forwarding calls to the correct individuals.
