Job Description

The Office Assistant will support the daily administrative functions of the corporate services provider. The role requires strong organizational skills, attention to detail, and the ability to handle confidential information while assisting the corporate services provider team. The position involves both in-office administrative work and outside tasks, such as delivering documents to government authorities, service providers, and any other counterparty when necessary.

Key Responsibilities:

Administrative Support

  • Handle day-to-day office operations, including filing, document preparation, and record management.
  • Assist in scheduling meetings, booking appointments, and maintaining office calendars.
  • Prepare and format correspondence, reports, and corporate documents.
  • Manage office supplies, ensuring stock levels are maintained and replenished as needed.
  • Coordinate with vendors and service providers for office-related needs.

General Office Management

  • Ensure the office environment is well-maintained and organized.
  • Provide reception duties such as answering calls, greeting visitors, and directing inquiries.
  • Carry out external tasks, including liaising with government authorities, phone companies, and real estate agencies to handle paperwork, submit documents, collect approvals, and manage rented property-related matters.
  • Handle incoming and outgoing correspondence, including mail and courier services.

Desired Candidate Profile

  • Experience: Minimum 2 years of experience in an administrative or office support role (preferably in a corporate services provider or financial institution).
  • Skills:
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Excellent interpersonal and communication skills in English (Arabic is an asset).
  • Good knowledge of Dubai city, including business districts, Free Zones, and government authorities.
  • Ability to handle tasks outside the office, including interactions with government offices, and service providers.
