Office Administrator (m/f/d)

Position Summary

As Office Administrator, you will play a key role in ensuring the smooth and efficient running of our day-to-day administrative operations. You will take ownership of a wide range of tasks that span across office management, employee support, and internal process optimization. With a strong focus on organization, compliance, and continuous improvement, you will help to shape the administrative backbone of the branch. Working closely with the Sales Director of our Dubai branch and the wider local team as well with colleagues from the German Headquarters, you will contribute to building an effective, compliant, and agile administrative environment that supports the ongoing growth and operational success of the branch.

Key Responsibilities:

  • Ensure compliance with existing office standards, and policies and further develop operational and administrative processes
  • Manage employee-related matters, including leave applications, DMCC visa processing, and onboarding activities
  • Support in the preparation of internal reports and presentations
  • Perform accounting-related tasks such as invoice processing, coordinating with the finance team on payments, and tracking operational costs
  • Monitor key figures and KPIs to support performance tracking and reporting
  • Handle general administrative tasks, including CRM database maintenance, procurement of office supplies, and ensuring a well-maintained office environment

Your Qualifications:

  • Bachelor’s degree in Business Administration, Office Management, or a related field
  • Minimum of 2 years’ experience in office management, executive assistance, or administrative roles
  • Strong organizational skills with the ability to multitask and effectively prioritize workload
  • High level of customer orientation and a proactive service mindset
  • Ability to turn data into reports and metrics whenever required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with CRM software is a plus
  • Solid understanding of office operations and basic financial administration
  • Ability to handle confidential information with discretion and professionalism
  • Proactive and solution-oriented, strong sense for structure and loyality
  • Excellent verbal and written communication skills in English, Arabic is a plus
  • Knowledge of SAP is an advantage
