Position Overview: The Office Administrator is responsible for ensuring smooth office operations and supporting various business tasks. The role includes managing front office duties, handling correspondence, procurement, and supporting HR functions.

Responsibilities:

  1. Assist with employee records, onboarding, and HR duties.
  2. Manage expense reporting, receipts, submissions, and payments.
  3. Address staff inquiries related to office administration (stationery, hardware, travel arrangements).
  4. Support executive team in managing relationships with clients, suppliers, and partners through communication, scheduling, and follow-ups.
  5. Maintain a pleasant and organized workplace, ensuring safety and communication standards.
  6. Oversee office supplies, vendor relationships, and billing on a weekly basis.
  7. Supervise office equipment maintenance (copiers, printers, recycling bins).
  8. Coordinate with IT department regarding office devices.

Requirements:

  • Experience in HR, management, and secretarial roles, preferably with remote headquarters and teams.
  • Knowledge of UAE visas, medical insurance, and office administration.
  • Excellent organizational, time-management, and teamwork skills.
  • Strong cross-cultural and interpersonal abilities.
  • Proficiency with office software and equipment.
  • Fluent in English, with excellent writing and verbal skills.
  • Minimum of 5 years recent experience in administrative or office management roles, including governmental relations, in Dubai.
  • Bachelor’s degree in Business Administration, Management Information Systems, or related field.
  • Ability to engage effectively with employees, clients, visitors, and government agencies.
